Position Summary:

  • This position is to support the administrative functions of the VCU Ryan White Program Team. In accordance with program standards and needs, this position will produce and maintain program communication internally and with consumer and community partners. In addition, this position will be responsible for all program events.
  • Core Responsibilities:
  • Responsibility 1: Event Planning (40%):
  • Coordinate and lead program events, including but not limited to staff retreats, participant outreach activities, quality programs, and staff events.
  • Arrange meetings, send invites, agendas and reminders in Microsoft Outlook as assigned. Keep meeting minutes for allstaff and administrative meetings.
  • Arrange external speakers at meetings
  • Organize the Program's participation in Community events focusing on consumer events. At minimum 6 per year.
  • Participate in events that may be after hours
  • Arrange space as needed for program events.
  • Coordinate volunteers for events
  • Responsibility 2: Communication Coordination (30%):
  • Maintain updated policies in accordance with funder compliance.
  • Produce bimonthly program newsletter
  • Manage website including both internal Ryan White and external page.
  • Manage clinic information screen
  • Coordinate client communication as needed from the program
  • Maintain program's social media presence
  • Develop and maintain program client handout, support materials
  • Coordinate conference presentations
  • Responsibility 3: Administrative and Financial Support (25%):
  • Manage space including door access
  • Provide backup administrative support as needed.
  • Provide support to the Director as needed
  • Purchase items and submit contracts related to communication and events
  • Follow State and University Procurement policies and procedures for all purchasing including proper documentation
  • Responsibility 5: Professional Development / Continuing Education (2%):
  • Annually attend or complete at least one pre-approved professional development/ continuing education.
  • Provide feedback to Ryan White Program Leadership upon completion of preapproved professional development/ continuing education activity
  • Responsibility 6: Other Duties as Assigned (3%):
  • Attend all team meetings prepared to discuss any achievements or opportunities for improvement related to assigned duties and attend all annual retreats and special functions
  • Attend any supervisorrequired meetings, trainings, competencies, and/or site visits
  • Minimum Hiring Standards:
  • Knowledge of HIPAA and ability to implement privacy and confidentiality practices.
  • Excellent customer service and interpersonal skills.
  • Excellent time management and organization skills.
  • Ability to demonstrate superior teamwork behaviors.
  • Ability to work independently
  • Ability to adapt to any changes in federal and state grant requirements.
  • Proficient in MS Office.
  • Outstanding communication skills, oral and written.
  • Additionally, the Ryan White Program Assistant will possess the following:
  • Attention to detail
  • Ability to multitask
  • Strong knowledge of program coordination
  • Willingness to learn more about HIV/AIDS
  • Ability to meet specific deadlines and coordinate multiple tasks
  • Preferred Qualifications:
  • Bachelor's degree
  • Several years in University or health care system or related experience.
  • Cultural competency in working with a diverse population.
  • Banner and eVA experience.

  • This is a restricted position with no set end date; continued employment is dependent upon project need, availability of funding, and performance.
