Front Desk Manager

Position Overview:


The Front Desk Manager plays a key role in ensuring the efficient operation of the physical therapy clinic by overseeing front desk operations, managing administrative tasks, and providing exceptional customer service to patients and visitors.

This position requires strong organizational skills, attention to detail, and the ability to effectively communicate with patients, staff, and external stakeholders.


Key Responsibilities:

Front Desk Operations:


  • Greet patients and visitors in a courteous and professional manner.
  • Manage incoming calls, schedule appointments, and answer inquiries regarding clinic services, policies, and procedures.
  • Maintain cleanliness and organization of the front desk area and waiting room.
  • Ensure timely checkin and checkout processes for patients, including verifying insurance information and collecting payments.

Appointment Scheduling:


  • Coordinate scheduling of patient appointments to optimize clinic workflow and maximize therapist productivity.
  • Schedule followup appointments and manage appointment cancellations or rescheduling as needed.
  • Update and maintain the electronic scheduling system with accurate patient information and appointment details.

Patient Registration and Records Management:


  • Register new patients, verify insurance coverage, and obtain necessary demographic and medical information.
  • Create and maintain patient records, ensuring accuracy and compliance with regulatory requirements.
  • Assist patients with completion of intake forms and medical history questionnaires.

Billing and Payment Processing:


  • Process patient payments, including copayments, deductibles, and outstanding balances.
  • Prepare and submit insurance claims, verify claim status, and follow up on denied or rejected claims.
  • Collaborate with billing staff to resolve billing discrepancies and ensure timely reimbursement.

Team Coordination and Communication:


  • Coordinate communication between front desk staff, clinical team members, and administrative personnel to facilitate seamless patient care.
  • Provide guidance and support to front desk staff, including training, scheduling, and performance management.
  • Collaborate with clinic management to implement policies and procedures that optimize front desk operations and enhance patient satisfaction.

Customer Service Excellence:


  • Address patient concerns or complaints in a timely and professional manner, striving to resolve issues to the satisfaction of all parties involved.
  • Maintain a positive and welcoming atmosphere in the clinic, ensuring that patients feel valued and respected throughout their interactions with clinic staff.
  • Foster a culture of exceptional customer service among front desk staff, emphasizing the importance of empathy, patience, and responsiveness.

Qualifications:


  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Prior experience in a medical office or healthcare setting, with at least 2 years of experience in a front desk or administrative role.
  • Strong interpersonal skills and the ability to communicate effectively with patients, colleagues, and external stakeholders.
  • Excellent organizational skills, with the ability to prioritize tasks, manage multiple responsibilities, and work efficiently in a fastpaced environment.
  • Knowledge of medical terminology, insurance billing processes, and HIPAA regulations preferred.
  • Leadership experience or supervisory skills desired.

Working Conditions:


  • This position typically operates in a clinical office environment, with regular exposure to computer screens and occasional interaction with patients with various medical conditions.
  • The Front Desk Manager may be required to stand or sit for extended periods and lift or move lightweight objects as needed.
  • Evening or weekend hours may be required based on clinic hours of operation and scheduling needs.
