About the Department:


The Portfolio and Project Management Office (PPMO) is part of the Enterprise Service Delivery group of Information Technology Services (ITS).

ESD provides strategic leadership and day-to-day guidance and support to the other ITS groups.

ESD uses project management, analytical, and process improvement knowledge and skills to guide and support ITS enterprise-level initiatives and processes.

The staff work towards integrating enterprise processes for the ITS and use appropriate technologies to support processes that provide effective interfaces between the ITS and Mason departments.

The group is comprised of Finance, Human Resources, Marketing and Communications, the Portfolio and Project Management Office, Information Technology Process and Planning, Technology Support Services and Systems Integration.

The PPMO supports consistent portfolio and project management practices for Information Technology Services (ITS) and across the University. Through portfolio management, the PPMO facilitates and coordinates IT project prioritization, selection, scheduling, and monitoring throughout the University. Project management provides guidance, templates and assistance in defining and delivering IT projects across the Project Lifecycle. The Office ensures that effective project management is a core competency of ITS.


About the Position:


The IT Project Manager works as part of the PPMO team providing IT Project Management and project scope analysis support and guidance for assigned projects.

Leads Information Technology projects and develops, fosters, and maintains business relationships with project stakeholders and ITS customers across the University.

Responsibilities related to this include assisting customers with business processes related to management of IT projects, works with other project managers to manage IT projects using the IT Project Management Framework.

Serves as a liaison of the ITS organization, assisting with capturing portfolio and project lifecycle information using project templates, monitoring the progress and deliverables in the IT Project portfolio, preparing communications, and assisting ITS Portfolio Owners.


Responsibilities:


Manage IT Projects:

Lead or manage IT projects through the project management lifecycle;
Lead project scope development with sponsor and stakeholders;
Complete all project related documentation and deliverables;
Develop, monitor, and manage the project schedule;
Coordinate project team members to ensure work is being completed according to schedule;
Report regular project status to project sponsors, ITS Portfolio Owners, and impacted parties and to the PPMO;
Coordinate project activities with other ESD groups including Process and Planning, ITS Finance, & Communications and Marketing as needed;
Project related deliverables are completed at the appropriate times during the project lifecycle;
Project leadership informed of project activities and status throughout the project's lifecycle; and
Project delivered on-time and on-budget per the approved schedule.
Develop and manage relationships with ITS Customers (ITS Liaison):
Meet regularly with specific non-ITS customer to review business needs and direction;
Assist with business analysis and solution identification - requirements, architecture needs, currently available technology;
Identify areas of ITS needed to support their efforts and coordinate those communications;
Capture and report potential projects and facilitate the navigation of the IT Governance process for customer;
Project needs captured and reported prior to projects starting; and
Positive customer feedback based on established expectations.
Support non-PPMO Project Managers;
Meet regularly with other project managers to review progress on their projects;
Facilitate adherence to IT Project Management processes for consistency and reporting;
Provide one-on-one training to enable teams to perform duties on their own;
Identify and report potential project conflicts - schedule, resource, etc.; and
ITS Projects adhering to Portfolio and Project Management standards.


Other Duties as Assigned:

Perform other ad-hoc PPMO related tasks as requested/required by supervisor;
Facilitate training on PPMO processes and templates;
Researching technology needs and alignment to current and future ITS operations; and
Assist with documenting requirements and proposing solutions to meet customer needs.
