Position Overview:


Under the direction of the Chief Financial Officer, the Executive Assistant will provide administrative support for Finance leadership, Finance Managers and team, and/or Harris County Public Health Executive Leadership Team.

The Finance Executive Assistant will be responsible for handling all of the office-related affairs to ensure smooth and efficient operations and continuous quality improvement.

This position will be required to follow all policies and procedures provided by Harris County Public Health (HCPH) and comply with HCPH confidential information related to personal information.


Duties & Responsibilities:


  • Provides executive administrative support (i.e scheduling, maintaining calendar, ordering of supplies, logístical tracking and research, special projects, travel, etc.) to CFO and Finance team
  • Leads HR onboarding process for new hires and ensures offboarding process is followed
  • Creates and tracks commissioners court request and approval documents and purchase orders in PeopleSoft/STARS enterprise resource planning system.
  • Manages and assists with special projects and submissions for strategic alignment and fulfillment of the department's goals and vision.
  • Provides training and guidance to the team on agencywide protocols and procedures to ensure Finance compliance with HCPH purview and strategies.
  • Organize and prepare for meetings and employee engagement events, including gathering quotes, ordering, and coordinating meetings.
  • Maintain various records and documents for the CFO.
  • Acts as liaison to other departments to help direct questions to appropriate staff for solution. Other duties as assigned

Requirements:
Education:


  • High school diploma or equivalent

Experience:


  • At least five (5) years of experience in an administrative support role.

Knowledge, Skills & Abilities:


  • Advanced Knowledge in MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent communication skills (verbal & written)
  • Ability to establish and maintain effective working relationships and foster teamwork in a diverse environment
  • Ability to maintain confidentiality when dealing with sensitive information

  • Other days and hours as necessary. Telework option available after 90 days of consecutive employment

  • This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands & Requirements:


  • This is primarily a sedentary position.
  • This is a largely sedentary role; however, some duties would require the ability to lift 20 pounds and bending and standing for periods at a time.
