Position Overview:


The Chicago Fire Football Club is a dynamic and innovative professional sports organization dedicated to delivering unparalleled experiences to our fans and clients.

As a key player in the sports and entertainment industry, we are seeking a highly motivated and detail-oriented individual to join our team as an Event Specialist.

This role will play a crucial part in supporting the Director, Events Services in delivering exceptional events for both internal departments and external clients.

Responsibilities:
  • Assist in the planning and execution of a wide range of events, including but not limited to corporate meetings, sponsor activations, and fan engagement activities
  • Collaborate with various internal departments to ensure seamless coordination and execution of events
  • Manage a holistic calendar of upcoming events and update as needed
  • Serve as a primary point of contact for external clients, vendors, and partners during events
  • Coordinate logistics for events, including venue setup, catering, audiovisual requirements, and other essential elements
  • Liaison with the Operations teams to ensure smooth event operations
  • Provide administrative support to the Director, Events Services, including calendar management, scheduling, and documentation
  • Assist in the preparation of presentations, reports, and proposals related to event services
  • Provide clear and timely communication to internal stakeholders and external clients regarding event details, timelines, and expectations
  • Draft and distribute event timelines, notes, and other relevant documents
  • Anticipate and proactively address potential challenges during events to ensure a positive and seamless experience for all attendees
  • Work collaboratively with the team to troubleshoot and find solutions in realtime
  • Assist in budget tracking and management for events, ensuring that expenses align with allocated budgets
  • Identify costsaving opportunities without compromising the quality of events

Required Qualifications:


  • 12 years of experience in event planning or coordination
  • Strong organizational skills with attention to detail and the ability to manage multiple tasks
simultaneously

  • Excellent communication and interpersonal skills, with the ability to work effectively in a team oriented environment
  • Strong project management skills, with the ability to prioritize and manage multiple projects simultaneously
  • Ability to work nontraditional hours, in nontraditional settings, including all home matches (or other work events) that fall on nights, weekends, and/or holidays
  • Willingness to learn in a fastpaced, performancedriven work environment
  • Ability to work autonomously and use excellent judgment
  • Attention to detail and organizational skills with the ability to meet firm deadlines
  • Passion for creating memorable experiences for customers and promoting the organization's brand

Preferred Qualifications:


  • Bachelor's degree in Event Management, Hospitality, Marketing, or a related field
  • Previous experience in the sports or entertainment industry
