Job Description:

Your Role

This role provides support to the COO Investments.

This position is an integral part of the success of the Investment team by providing various administrative support functions as required by the COO.

This is an opportunity for a detail-oriented self-starter with prior experience in the financial services industry.


You will be Responsible for:

  • Work directly with the COO to support all aspects of his daily work routine
  • Maintain the COO's calendar, including scheduling meetings, appointments, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs
  • Determine priority of matters of attention for the COO; redirect matters or handle matters personally, as appropriate
  • Keep the COO advised of timesensitive and priority issues, ensuring appropriate followup
  • Maintain confidential and sensitive information
  • Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
  • Prepare, reconcile and submit expense reports
  • Assist the COO in preparing for internal meetings, client presentations and board presentations
  • Maintain various records and documents for the COO
  • Assisting the COO with various projects and requests as needed
  • Order and manage supplies and other items needed by the COO
  • Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed

The Experience you bring:

  • 5+ years' prior experience in supporting a senior executive or team
  • Financial Services industry experience preferred
  • High proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams)
  • Must be proficient in document management & creation
  • Ability to multitask under pressure with proven organizational skills
  • Excellent interpersonal and communication skills, both verbal and written
  • Comfortable interacting with highlevel executives
  • Ability to prioritize work and meet tight deadlines
  • Ability to work and effectively communicate with all levels in and outside the organization
  • Bachelor's Degree preferred
  • Must be flexible for occasional overtime
