Responsibilities:


  • Support the Chief Operating Officer and future CEO by managing their schedules, coordinating meetings, handling correspondence, and maintaining records with meticulous care.
  • Provide secondary assistance to Central Region Executive Leadership Council members, ensuring seamless coordination of meetings, projects, and communication between departments.
  • Aid the Legal Affairs Manager in administrative tasks pertaining to Board of Directors meetings, ensuring all proceedings run smoothly.
  • Take charge of planning and preparing for Executive Leadership Council meetings, including attending sessions, recording minutes, and ensuring prompt action on meeting outcomes.
  • Collaborate with the Legal Affairs Manager in managing organizational contracts, overseeing contract status, renewals, and terminations with precision.
  • Capture inperson and teleconference meetings in detailed notes and produce concise summaries for effective communication and reference.
  • Handle all travel arrangements for the Central Region, including coordinating transportation, accommodation, and expenses within budgetary guidelines.
  • Manage conference registrations and related logistics, securing necessary approvals and documenting expenses accurately.
  • Efficiently schedule internal and external meetings, oversee meeting room logistics, and ensure all arrangements meet the highest standards.
  • Perform various administrative tasks such as filing, copying, and maintaining office supplies to support smooth operations.
  • Maintain detailed spreadsheets for tracking purposes, including donations, memorials, and invitation lists.
  • Uphold Chestnut's commitment to customer service excellence and maintain confidentiality and security of all organizational information.
  • Keep meticulous records of all activities and contribute to the overall success of the team by taking on additional projects as needed.

Qualifications:

  • Position requires a minimum of a high school diploma or G.E.D. with a minimum of one year of administrative support experience.
  • Must be proficient with Microsoft Office Suite.
  • Must have excellent oral, written, and interpersonal skills.
  • Must have strong attention to detail, excellent organizational skills, time management skills, ability to multitask, and ability to exhibit discretion with confidential information.
  • Must be able to work independently, handle multiple projects simultaneously, and establish appropriate priorities.
  • Satisfactory completion of Chestnut's background checking process.
