Position Objective:


The purpose of this position is to provide analytical and administrative support for the Transportation Department within the areas of employee availability programs, attendance control, discipline processes, procurement programs, cost control, and others.


Responsibilities:


  • Manage and compile various types of data including, but not limited to: operational audits, employee performance, operational delays, passenger counts, swipes compliance on behalf of the Chief Transportation Officer (CTO), and develop reports as requested in support of new initiatives as well as corporate and department goals. Provide administrative support for the CTO and Senior Management. Assist in the management of the standardization of information within the Transportation Department to facilitate departmentlevel reports and to ensure uniformity and consistency in reporting.
  • Manage personnel time, vacation scheduling, calendars, and all other related matters for the CTO and staff.
  • Oversee the daily monitoring of Kronos compliance reporting requirements. Manage new initiatives in support of increasing employee availability. Assist with the monitoring and auditing of process controls for Timekeeping and Procedural Operations.
  • Provide support relating to attendance monitoring and discipline management systems for attendance control. Function as liaison between Labor Relations, Department of Hearings and Investigations, subdepartments within Transportation, and others as needed for the handling of discipline cases and management of related files.
  • Monitor employees on leave of absence including collaborating with the People Department to ensure employees are returned to work timely and process applicable personnel transactions in PeopleSoft.
  • Manage procurementrelated functions within the department including requisitioning to delivery, receipting/payment, analyzing material requirements and usage data; establishing inventory levels, and preparing material forecast for review. Review, input, and monitor departmental AP13s, requisitions, and contracts, including PeopleSoft entry and receipting. Maintain analysis of standard and nonstandard transactions and documentation.
  • Assist in the implementation of efficiencies for critical business processes. Interact with department supervision throughout the territory to manage and support all administrative needs. Oversee other administrative functions including inventory management, issuance, and database management of keys, jackets, and other critical items.
  • Oversee the processing of invoices for reimbursable costs. Coordinate timely review of charges with Project Managers and manage the unabated flow of approvals to ensure accurate and timely processing of invoices.
  • Provide supervision and training to agreement TCU staff.
  • Other duties as assigned.

  • Proficiency in Microsoft Office suite (i.e., Excel, Access, PowerPoint, and Word) and/or comparable programs.

  • Excellent interpersonal and customer service skills to interact with all levels of the organization, both internal and external.
  • Excellent attention to detail and ability to foster teamwork.
