Job SummaryResponsible for operations and functions related to faculty for the Office of the Provost. Maintains knowledge of and insures compliance with standards, policies, and timelines as they relate to faculty appointments, contracts, promotions, work load, and academic credentialing.
ResponsibilitiesFunction 1 -
Supports the Provost with all activities related to the appointment and promotion of GGC faculty; provides ongoing guidance to department administrative staff for faculty processing, including recruitment, credentialing, appointment, and termination.
Function 2 -
Collaborate with internal and external constituencies, including Department Chairs, Deans, the Office of the President, Human Resources, and Legal Affairs.
Function 3 -
Prepares briefings and materials for meetings regarding faculty, providing background information including reports, inquiries, agendas, presentations, and follow-ups. May assist with implementing and managing faculty performance review processes as required.
Function 4 -
Generates and disseminates faculty appointment letters and contracts; tracks and records all actions with a high degree of attention to detail and accuracy; assists the Provost with the tracking and approval of all requests related to faculty, including extra compensation, outside employment, overload teaching, eCore, administrative assignments, summer school teaching, study abroad, and grant-related teaching releases.
Function 5 -
Maintains faculty files and other records (e.g. spreadsheets, databases) in support of the credentialing process, promotions process, annual reporting, and accreditation reviews. Keeps the paper/electronic repository of faculty documents adhering to best practices for file retention and confidentiality. Maintains up-to-date information and files related to faculty appointments and reappointments, as well as faculty teaching and work load.
Function 6 -
Supports training of institutional staff on faculty affairs matters by coordinating meetings, making room assignments, recording meeting minutes, and assisting with the setup of required IT resources.
Function 7 -
Assists with qualitative and quantitative data collection, analyses, and reporting of faculty data and school metrics.
Function 8 -
Stay informed about all faculty-related policies and procedures, ensuring that faculty affairs activities adhere to college and university system guidelines. Assist the Provost with the development and revision of faculty-related policies when necessary.
Function 9 -
Supports the Provost with other personnel issues as required, including hiring and evaluating staff in Academic & Student Affairs, updating job descriptions, and collaborating with Human Resources to track faculty and staff vacancy reports and salary reserves.
