Summary:

Responsible for planning, directing, and coordinating medical and vision services and staff in the optometry office in a manner that reflects the mission of the practice by performing the following duties.


Duties and Responsibilities include the following. Other duties may be assigned.

  • Responsible for daytoday operations of the business at an office level including work with your team to ensure good office flow and a great patient experience.
  • Maintains staff schedules to ensure adequate staffing and to appropriately coordinate for coverage and backup when required.
  • Establishes work schedules and assignments for staff according to workload and identifies risks to minimize loss of revenue.
  • Maintains communication between office staff and doctors by preparing office meetings and touchbases.
  • Directs, supervises, and evaluates work activities of the administrative and technical staff.
  • Assists the owner in recruitment of new employees and directing the training of personnel.
  • Maintains a working knowledge of medical, accounting, and scheduling software.
  • Responsible for coaching staff in performing their duties in an efficient and proficient manner.
  • Assists the owner in growing and scaling the business at the office level.
  • Implements and supervises patient acquisition and patient retention strategies.
  • Monitors patient flow and scheduling.
  • Manages change in integrated health care delivery systems, such as work restructuring, technological innovations, and shifts in the focus of care.
  • Responsible for ensuring that staff collects correct monies from patients and ensuring that endofday collections balance out by auditing daily encounters.
  • Responsible for making bank deposits on a regular basis.
  • Responsible for inventory management and ordering office supplies when indicated.
  • Responsible for sorting mail.
  • Monitors contact lens orders, including supervising accuracy of direct ship orders and coordinating shipments of contact lenses back to distributor.
  • Minimizes patient conflicts at a site level or alerts upper management to reach a timely resolution.
  • Responsible for monitoring and responding to online reviews in a positive manner.
  • Participates in committees put forth by the practice to assist in nonwork related activities.
  • Participates in community outreach programs put forth by the practice to help grow the practice.

Supervisory Responsibilities:

Directly manages and supervises up to 3 full time employees and up to 5 part time employees. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.

Responsibilities include training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

To perform this job successfully, an individual should have knowledge of word processing software, spreadsheet software, accounting software, inventory software, payroll systems, development software, internet software, human resources systems, and database software.


Education/Experience:

Bachelor's degree (B. A. / B. S.) from four-year college or university; and two to four years related experience and/or training; or equivalent combination of education and experience.
