Description
This position is located in the Office of the Director, Support Services Division within the Department of Buildings (DOB).

The mission of The Department of Buildings is to protect the safety of residents, businesses, and visitors and advance the development of the built environment through permitting, inspections, and code enforcement.


This position works under the supervision of the Support Services Manager, Department of Buildings (DOB), Support Services Division, coordinating a variety of administrative support services relating to property management, construction project management, duplicating, mail service, and transportation services.


DUTIES AND RESPONSIBILITIES


Assists the supervisor in originating new techniques, establishing standards, and supporting new policies for the Support Service Division and the standard operating procedures.

Incumbent assists with implementing the Division processes with the Department's annual assessment of the fleet management program, which includes the vehicles' age, condition, assignment, annual acquisition, retention, disposal, and utilization plan for the entire fleet.

Assists with the Department's vehicle preventative maintenance program to include monitoring the scheduling of vehicles for maintenance, notifying the appropriate organization of the status of vehicles and follow up to assure that maintenance of vehicles has been completed.

Incumbent maintains files on each vehicle reflecting downtime, accidents, maintenance, and other statistical information and coordinates the installation of new and additional equipment.

Monitors the day-to-day security services and coordinates all security arrangements for special events or activities with Property Management.

Assists with developing internal departmental procedures for use by security guards relative to the appropriate manner to execute their duties in safeguarding the agency.

Incumbent coordinates departmental building operations by assisting with enforcing and maintaining building policies and guidelines in accordance with established policies.

Prepares various reports and statements of work to include inspections for existing conditions and future projects.


Responds to emergency situations in the building and coordinates activities with vendors and contractors, who provide cleaning, equipment, and maintenance services.

Oversees the Department's Office supplies materials and property management operation regarding desk, chairs, offices, and layout of the agency. Assists in maintaining the Department's property inventory program, receiving, tagging and accountability functions. Assists with planning the department's mail system. Coordinates the duplicating services which include central in tandem high-tech equipment to service high volume departmental demands. Handles warehousing, stocking, distribution, and inventory control of departmental supplies.

Responsible for the receipt of requests, determining utilization of staff resources or contractual services; and scheduling, arranging, and coordinating all relocations of personnel, furniture, and equipment.

Assists with monitoring of the Division's material and equipment budget and recommending modifications as necessary. Ensures that operating procedures for all activities are documented, updated, and revised as needed.


QUALIFICATIONS AND EDUCATION


Specialized experience is experience which is directly related to the position which has equipped the individual with the knowledge, skill and abilities to successfully perform the duties of the position.

To be creditable, one (1) year of specialized experience must have been equivalent to at least the next lower grade level in the normal line of progression.


LICENSES AND CERTIFICATIONS
Must have a valid driver's license.

Must be able to operate a duplicating equipment for making voluminous amounts of copies.


WORKING CONDITIONS/ENVIRONMENT
The work is performed in an office setting, which is adequately lighted, health and ventilated.
