The Administrative Assistant will provide administrative support to the firm and personal support to the Co-Managing Partners to ensure efficient operations of the company.

This role will be comprised of approximately 50% firm-related administrative support and 50% personal-related administrative support.

Based in La Jolla, this full-time position requires the individual to be personable, detail-oriented, and comfortable working in a small but dynamic business.


Work Responsibilities:
Reporting to the Managing Partners, the Administrative Assistant is responsible for, but not limited to:

  • Performing receptionist/front desk duties such as receiving visitors, answering phones, and directing calls
  • Managing executives' calendars, appointments, and travel arrangements efficiently
  • Undertaking comprehensive travel planning for personal travel itineraries, including researching and booking flights, accommodations, transportation, and dining; performing initial pricing and ongoing price monitoring
  • Receiving, screening, and distributing mail and packages
  • Preparing meeting materials and work products using printing/copying/binding machines
  • Carrying out a variety of personal tasks that increase Managing Partners' efficiency, including making restaurant reservations, scheduling personal appointments, etc.
  • Handling confidential information with discretion and professionalism
  • Preparing and submitting Managing Partners' expense reports
  • Coordinating small firm and personal events
  • Providing general administrative support with ad hoc projects
  • Provide additional support for facilities and office management from time to time

Competencies/Education:


  • Strong verbal, written, and interpersonal communication skills
  • Outstanding organizational skills with an excellent attention to detail and accuracy
  • Interest in the financial industry preferred but not required
  • Bachelor's degree preferred
  • 2+ years of related experience preferred
  • Solid character references required
