The Department of Medicine is seeking to hire a part-time Administrative Assistant III (50%) to support the Research Center at Alhambra in its daily operations.

In this role, you will manage incoming calls through a multi-line phone and intercom system, addressing inquiries about the Research Center.

Your responsibilities will include assisting with purchasing, receiving, and following up on invoices and payments, as well as handling requests related to facilities, communication technology services, and courtesy parking.

Additionally, you will maintain the conference room, ensuring it is properly set up for meetings, and train and coordinate work-study students' schedules.

You will also assist in tracking equipment, managing space, and assigning keys, and draft routine correspondence for management, ensuring letters and memos are grammatically correct.

Furthermore, you will provide additional support to the Center's management as needed. This role requires excellent organizational skills and the ability to multitask in a dynamic environment.


Hourly range:
$28.23-$40.44


Qualifications

Required:

  • Ability to work as part of a team and to establish and maintain cooperative working relationships with colleagues.
  • Typing skills with sufficient speed and accuracy to produce business correspondence and reports
  • Ability to operate computer to include word processing, spreadsheets, data entry, data base maintenance (Excel, MS Word, etc.)
  • Demonstrated skill in organizing work, setting priorities, working independently, and following through on assignments
  • Skills to obtain or convey clear information at various organizational levels
  • Ability to deal with confidential and sensitive information in a discreet and professional manner
  • Ability to perform with frequent interruptions and/or distractions including the ability to accept equivocal circumstances and respond to changing priorities and deadlines
  • Skill in working independently and following through on assignments with mínimal direction and supervision
  • Ability to communicate with others in a professional manner
  • Demonstrated skill in executing assigned projects in an independent and responsive manner
