    POSITION SUMMARY:

    We are looking for an Administrative Services Administrator who is excited to be part of a small team in a fast-paced, dynamic environment and help build and shape this novel program.

    Reporting to the Assistant Director / Center Director, the Administrative Services Administrator function will take the lead in building, scaling, and executing the policies and processes that allow the Gordian Knot Center to run.

    This position will lead internal financial reporting and management, oversee Center operations, support the Center's administration, and assist in the planning and delivery of the Center's policy events.

    Ideal candidates will have strong familiarity and demonstrated skill with finance, administration, and organization—particularly for sponsored research.

    This recruitment is for a two (2) year fixed-term, benefits-eligible position that begins on the start date and may be renewable in the future based on programmatic need and funding availability.

    CORE DUTIES:

    Independently implement, administer and evaluate day-to-day activities of the unit, function or program by identifying and executing tasks and objectives, making recommendations that impact policies and programs, and assigning resources to achieve the goals of the program.

    Collect and analyze data, create reports, review and explain trends; formulate and evaluate alternative solutions and/or recommendations to achieve the goals of the program or function.

    Analyze and interpret policies; develop, revise and implement procedures for program or function.

    Represent the program or function as the key contact and subject matter expert within the department, unit or school.

    Commit resources and provide information and/or training. May also represent the program or function to external/internal stakeholders and constituencies.
    Organize and/or participate in outreach activities that may include developing communications and training, planning/promoting events and/or conferences.
    May participate in development of budgets, monitor, and approve expenditures. May perform limited forecasting and provide recommendations that determine the budget.
    May direct staff to perform various tasks and assignments. May also supervise staff.


    MINIMUM REQUIREMENTS:

    Education & Experience:
    Bachelor's degree and three years of relevant experience, or combination of education and relevant experience.


    Knowledge, Skills and Abilities:
    Demonstrated oral, written, and analytical skills exhibiting fluency in area of specialization.
    Strong familiarity with financial accounting, reporting, and budgeting.
    Familiarity with Stanford reporting and tracking software: Oracle, SERA, Axess, Peoplesoft, etc.
    Familiarity with sponsored research tracking and reporting and corresponding US federal regulations (OMB Circular, etc.)
    Knowledge of Microsoft Office (particularly Microsoft Excel) and Google Drive Suite (specifically Google Sheets)
    Ability to clearly communicate financial data to non-financial staff
    Ability to translate qualitative goals into financial budgets
    Comfort learning and improving existing processes
    Familiarity and comfort with event planning and execution
    Team player for a flat organization, comfort with uncertainty, self-starter, and entrepreneurial mindset
    Detail oriented and execution-minded
    Familiarity with Stanford University a strongly desired
    Interest in national security and/or technology nice to have
    Bachelor's Degree Preferred
    Demonstrated ability to prioritize own work and multi-task.
    Demonstrated excellent organizational skills.
    Demonstrated ability to take initiative and ownership of projects.
    Ability to communicate effectively both orally and in writing.
    Ability to routinely and independently exercise sound judgment in making decisions.

    PHYSICAL REQUIREMENTS*:
    ~ Frequently stand/walk, sitting, grasp lightly/fine manipulation, perform desk-based computer tasks.

    This role is open to candidates anywhere in the United States. Stanford University has five Regional Pay Structures . The compensation for this position will be based on the location of the successful candidate.

    The expected pay range for this position is $69,100 to $120,000 per annum.

    Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position.

    The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location, and external market pay for comparable jobs.
