Gronen is a full-service community centered, development, construction, real estate brokerage, and property management company who is experiencing growth across all of its divisions.

Gronen is seeking an experienced Administrative Assistant to assist in its construction division. Gronen is a leader in historic rehabilitation and new construction.


Position Summary:


Reporting directly to the Project Managers, the Administrative Assistant provides accounting, administrative, and development support to the Project Managers, as well as upper management.


Essential/Primary Responsibilities:


  • Create AIA Pay Request monthly draws and prepare spreadsheets for project draws
  • Write and file meeting minutes, meeting agendas, purchase orders, change orders, and AIA Contract Documents
  • Log and file invoices using company accounting software (SAGE 100 CONTRACTOR)
  • Schedule meetings with project leaders, clients, and subcontractors
  • Monitor and update budgets as needed
  • Organize and set up conference room(s) and other meeting spaces for project meetings
  • Update insurance documents and W‐9s
  • Assist in the preparation, assembly, distribution, and management of project bid documents, including Request for Proposals, Construction Documents, Scope of Work, Alternates, and project access information
  • Contact subcontractors during the bidding process
  • Perform other administrative duties and clerical tasks as assigned
  • Excellent and professional communicator who is perceptive and intuitive

  • Adept at filing, organizing, and managing project files and project logs

Pay:
$ $20.00 per hour

Expected hours: 40 per week

Education:


  • High school or equivalent (preferred)

Experience:
