Hilber Psychological Services is a mental health group practice providing evidenced-based psychotherapy services to children, teens, adults, couples and families who may struggle with a variety of mental health issues.
Role Overview
Administrator/Care Coordinator positively represents our practice and is a resource to our clients from their first call throughout the entirety of their treatment.
Our ideal team member will have excellent time management skills, thrive in a detailed and communicative environment, and perform the job with little to no supervision.
Responsibilities include:
- Obtain pertinent clinical, insurance and demographic information
- Assess patient needs to match patient to an appropriate provider
- Manage the intake process prior to client being scheduled for an appointment
- Follow up with the intake process and ensure charts are complete
- Assist new clients with paperwork and using the EHR
- Create and manage client records using our EHR
- Direct current client inquires to appropriate staff
- Keeping and maintaining accurate logs of clients and referrals
- Process any faxed referrals and authorizations
- Provide customer service to clients
- Assist with insurance credentialing profiles and provider updates
- Run reports and inform providers of any outstanding notes
- Communicate with Billing and Admin team
- To perform clerical duties such as photocopying, preparing labels, faxing, filing, etc.
- To conform to all HIPAA regulations and maintain strict patient confidentiality.
- Offers support and empathy to staff and clients as appropriate
- Work independently while completing all necessary tasks timely
- To report to work at the scheduled time, demonstrate consistent and regular attendance, and consistently work the duration of the scheduled shift
- Other admin duties as assigned

Required Qualifications:
- High school diploma or equivalent required, Associates or Bachelor's degree strongly preferred
- Strong written and verbal communication skills.
- At least 1 year experience in customer service or administrative support role; medical office or behavioral/mental health experience preferred
- Ability to document accurately and professionally
- Excellent interpersonal skills and professional manner
- Ability to manage and schedule initial appointments
- Must be well organized and attentive to details
- Demonstrates awareness, inclusivity, sensitivity, humility, and experience in working with individuals from diverse ethnic backgrounds, socioeconomic statuses, sexual orientations, gender identities, and other various aspects of culture
Pay:
From $22.00 per hour
Expected hours: 35 per week
