Nature of Work:
This is a technical and administrative position responsible for the performance of accounting work and varied administrative work, frequently of a non-routine nature, according to generally prescribed guideline and under limited supervision.
Illustrative Examples of Work:
- Maintains and processes accounts payable transactions in the accounts payable system.
- Assists with the maintenance and processing of the tax billing and collection system.
- Assists in the processing of weekly payroll.
- Composes and prepares reports and correspondence.
- Monitors and reports the addition or deletion of covered assets and liabilities.
- Manages claims filing, processing, and payments with underwriters.
- Verifies and processes invoices for payment including delivery receipts, prior payments, partial payments, credits, correct account designations, and overall accuracy.
- Reviews each expenditure for compliance with all pertinent budgetary, financial, and purchasing policies.
- Verifies approvals for all expenditures as required.
- Reviews each expenditure for compliance with all pertinent budgetary, financial, and purchasing policies.
- Processes EFT (Electronic Funds Transfers), processes wire transfers, stop payments, void checks, and calculate industrial sewer bills.
- Assists with direct debit database.
- Screens and routes visitors and incoming telephone callers to appropriate person.
- Receives, sorts, opens, and routes incoming mail.
- Prepares bookkeeping entries.
- Supports management staff by preparing communications, reports, contracts, and other materials.
- Assists with the annual liability insurance renewal process as needed, including issuing vehicle ID cards.
- Assists with annual financial statements by providing confirmations and other schedules required by auditors.
- Assists with the compilation and distribution of Annual Operating and Capital budget, the Annual Comprehensive Financial Report (ACFR), and monthly financial statements.
- Performs other related duties as required.
Employment Standards Experience:
- Considerable experience in a technical position.
- Familiarity with accounting and database computer software.
- Some knowledge and experience with the modern principles and practices of municipal bookkeeping.
- The ability to communicate effectively, both orally and in writing.
- The ability to identify relevant information, determine classifications accurately, and calculate billings based on formulas.
- The ability to understand and follow difficult and complex verbal and written instruction.
- The ability to exercise independent judgment in nonroutine situations.
- The ability to operate networked computer, phone, copier, scanner, and related office equipment.
- The skills necessary to perform the duties of the position.
- The ability to establish and maintain effective working relationships with the general business community.
- Any combination of experience and training which provides an equivalent to the minimum desirable employment standards.
Essential Job Standards:
- Ability to sit, stand, and kneel for an extended period in an administrative environment.
- Ability to lift and carry related materials/parts of at least 25 pounds while utilizing proper safety measures.
- Lift materials, as needed, overhead to complete job tasks.
- Ability to type on a keyboard, use a mouse, and view monitors for an extended period in an administrative setting.
