Description
As the Member and Guest Services Manager, you play a critical role in providing member and guest-related services to residential and commercial members (15,000+).
This position involves issuing member cards to owners, dependents, caregivers, affiliates, property managers, commercial members, key employees, and both annual and seasonal renters.
In this role you will be responsible for managing the member and guest services team. You will also handle member inquiries via phone, email and in person at the membership desk. This position requires processing/handling large fees relating to sales and lease applications.FLSA Status:
Exempt
Overall Responsibilities
Supervises member and guest services team members
Maintains the member database
Manages all lobby staff both Guest and Member Services
Respond to inquiries from members, potential members, realtors, guests, and other public traffic that require assistance
Advanced knowledge of Foundation computer software - to facilitate daily job requirements including Northstar, Word, and Excel
Issues the membership photo identification cards, as appropriate under the Foundation guidelines and policies
Coordinates and communicates with closing agents and real estate brokers to ensure proper closing documents are executed, distributed, maintained, and filed appropriately.
Maintains all the paper and electronic files involving membersProcess miscellaneous deed change requests by owners revising their ownership status.
Completes estoppel requests
Advanced knowledge of Pelican Bay Declaration and Protective Covenants.
Advanced knowledge of Collier County Property Appraiser Website and Collier County Clerk's Website
Processes rental applications by evaluating and interpreting the Foundation guidelines and policies; determines if rental is to be granted.
Revise all lease, estoppel, and exemption application forms annually.
Scan and index all new owner closing documents, current owner deed changes and miscellaneous owner documents.
Welcomes new members by providing member cards, literature, and providing them with an overview of Pelican Bay amenities.
Requirements
Education
Minimum High school diploma/GED or equivalent.
Associate or bachelor's degree preferred or any combination of education, training, and work experience which demonstrates the ability to perform the duties and responsibilities as described.
Skills & ExperienceMinimum 5 years of supervisory experience
Successful supervisory experience in a hospitality/customer or member facing industry/ organization preferred
Highly proficient and have working knowledge of point-of-sale systems, Advanced working knowledge of Microsoft Office, (Word, Excel, Outlook, and PowerPoint)
Proven ability to be an effective communicator and an active listener
Must be able to lift up to 25 pounds and occasionally lift up to 40 pounds
Must be able to remain in a stationary position at a desk 75% of the time
Key Competencies

Proven ability in prioritizing work activities of a large employee base
Demonstrated experience in providing superior service to internal and external customers with emotional intelligence
Demonstrated excellent communication in English skills, both written and verbal form
