POSITION RESPONSIBILITIES:
The Procurement Administrator plays a crucial role in overseeing the daily operations of the front desk and office management. This position has a pivotal role in ensuring the effective operation of the team.
Responsibilities include:
Procurement and Financial Management:
- Process requisitions forms for the Procurement and A/P teams.
- Manage and reconcile the Pcard payments and transactions on the monthly statement.
- Maintain accurate and organized procurement documentation in the shared drive.
Supplier and Employee Onboarding:
- Facilitate the onboarding of new suppliers into the banner system.
- Collect and organize W9, W8 and Certificates of Insurance documents.
- Generate Dun and Bradstreet report for new suppliers.
- Onboard new employees to the travel and reimbursement platforms Egencia and Concur.
Operational Support and Budget Assistance:
- Collaborate with campus security to issue security passes for vendors authorized to do work on campus.
- Assist in the preparation of annual departmental budgets.
- Determine appropriate account number and track the departmental budget.
Administrative Duties:
- Respond to general inquiries and manage phone communications.
- Manage and coordinate meetings for the Executive Director of Procurement and Business Services
- Perform other duties as assigned.
QUALIFICATIONS:
Bachelor's degree with 3 years' experience required.
- Proficiency in e Pro software or Jagger/Sciquest
- Familiarity with ERP or Banner system
- Proficient in Microsoft office suite (Word, Outlook and Excel) and adept at learning new web based programs as required.
- Exhibits excellent judgement, initiatives and attention to details.
- Must be able to effectively track time and resources to prioritize work assignments with mínimal direction;
- Capable of effectively prioritizing tasks with mínimal direction and working independently to produce a highquality work product.
- Comprehensive understanding of departmental and college policies and procedures.
- Uses independent judgment in responding to inquiries regarding policies, procedures, and regulations.
Minimum Salary Range:
USD $63,000.00/Yr
Maximum Salary Range:
USD $70,000.00/Yr.
