Summary:


The Event & Partnership Coordinator reports to the Training and Events Manager and provides logístical and strategic support for training initiatives and events, oversees all aspects of events, ensuring smooth planning, coordination, and execution; and actively cultivates relationships with industry business partners and industry speakers.


Essential Duties and Responsibilities:


  • Organize event and meeting logistics, includingbut not limited tovenue selection, onsite setup, transportation, accommodation, and audiovisual requirements.
  • Assist developing event plans, timelines, and budgets according to event requirements, objectives, and budget constraints.
  • Manage preevent and onsite registration, and other event coordination functions such as printing name badges, rosters, sponsorships, and directional signs.
  • Responsible for the management of the vendor exhibit hall conference for exhibitors and attendees experience. Providing excellent service and communication for potential and current vendors on booth packages which includes booth setup requirements, payment processing (invoice, ACH, credit card) and sponsorship options, and onsite needs.
  • Works directly with convention center event planner on exhibit floor plan development, exhibit hall design, schedule and timelines, vendor booth assignments, booth requirements, and onsite needs (including signs, booth setup, and vendor registration).
  • Coordinate, promote and secure event sponsorships and vendor opportunities for all ICUS events. Work closely with Finance to ensure invoices are received and paid according to agreed upon terms.
  • Create postevent evaluation, gather client and attendees' feedback, and identify improvement areas.
  • Plan and implement virtual learning offering, including but limited to, business partner product webinars, learning workshops for credit union staff, peer group discussions and motivation speaking engagements.
  • Develop and maintain relationships with industry leading speakers to ensure ICUS is booking engaging and relevant talent.
  • Secure event speakers, negotiate fees, prepare contract agreements, and initiate payment processes.
  • Facilitate legal review and approval of eventrelated contracts.
  • Maintain the speaker catalog and take the lead in event agenda design.
  • Coordinate with speakers to ensure meeting/event presentation materials and/or handouts are received and made available to attendees in a timely manner. Perform onsite event facilitation.
  • Assist in maintaining event registrations and member records within Salesforce.
  • Stay informed on innovative meeting trends and attendee engagement strategies.
  • Participate in special projects/committees and provide onsite backup support for various ICUS events as directed.
  • Perform other related duties and assignments as needed.

Skills and Attributes:


  • Strong creative and professional writing skills that provide relevance within the industry.
  • Excellent organizational skills and the ability to manage short and longterm projects.
  • Dependable with the ability to maintain a high level of trust.
  • The ability to work independently and collaboratively.
  • Proven troubleshooting and problemsolving skills. Comfortable in virtual and inperson speaking engagements.

Preferred Education and Experience:


  • College Degree preferred.
  • Three years to five years of similar or related experience.
  • Credit Union industry experience is preferred.
  • CUDE and/or FiCEP Certification Preferred
  • Proficient in Microsoft Office products.
  • Experience in Salesforce preferred.
  • Local travel and some travel may be required for brandsponsored or networking events.

Physical Requirements:


  • Must be able to sustain prolonged periods of working on a computer.
  • Must be able to move items up to 10 pounds occasionally.
