We are looking for an enthusiastic and professional individual to manage our front desk on a daily basis and to perform a variety of administrative and social media tasks as well as client related work.
We are open to open 4 days a week during off peak season and 5 days a week plus some weekends during peak/tax season.
As an Office Admin & Front Desk support, you will be the first point of contact at our tax practice.
The duties include offering administrative support across the organization as well as welcoming guests and greeting people who visit the office.
You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls.To be successful, you should have a pleasant personality, a can do attitude, and a willingness to bring your A game everyday as this is an important role since you are the first point of contact.
You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Must have reliable transportation.Multitasking and stress management skills are essential for this position.
Ultimately, your duties and responsibilities are to ensure the front desk welcomes guests positively, maintain our social media pages working with our 3rd party graphic design vendor, complete client related work, assist the owner and staff as needed, and execute all administrative tasks to the highest quality standards.
Prior experience in a tax practice setting is preferred but not required.Responsibilities:
Greet and welcome guests at the office
Direct visitors to appropriate person
Answer, screen and forward incoming phone calls
Ensure reception area and conference is tidy and presentable
Receive, sort and distribute daily mail/deliveries
Maintain office security by following safety procedures and controlling access via the reception desk
Run errands
Perform janitorial tasks to clean the office and remove the trash daily
Assisting staff and owner when needed
Perform other clerical receptionist duties such as filing, photocopying, scanning and faxing
Skills:
Proven work experience as a Receptionist, Front Office Representative or similar role
Proficiency using Microsoft Office Suite, Social media platforms, Google calendar
Have a high degree of competency
Attention to detail (nothing gets by you)
Hands-on experience with office equipment
Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Multitasking and time-management skills, with the ability to prioritize tasks
Competent and deligent with tasks and client responsibilities
Team player
Able to handle the pressure of working for a demanding owner
