Guiding Principles of the Administrative Assistant Role


The Academy Administrative Assistant will work collaboratively with the Head of School, School Administrator, and faculty and staff to manage the Academy in a manner that supports and guides the school's mission.

The Administrative Assistant is responsible for oversight and support for daily operations, including school programs, communications, facilities, and resources.


Essential Job Functions

  • Reception: Meet and greet all guests daily and model exceptional guest service. Main point of contact in the front office for all visitors, educators, students and staff. Manage the signin/out and security procedures.
  • Supply Management and

Inventory Control:
Manage request, order and keep track of supplies, materials and equipment.

  • Record Keeping: Maintain attendance records, health information/medication administration/approved treatments, authorized pick up persons list, drop off/pick up list, and other schoolrelated documentation.
  • Process incident/behavioral reports: Ensure policy is followed. Facilitate behavioral intervention to include helping students talk about their feelings and think about their choices. Hold physical space for the student to deescalate and find equilibrium.
  • Substitute Teacher Coordination: Maintain a list of available substitute teachers. Coordinate background check and onboarding. Coordinate substitute schedules in the event of an Educators absence.
  • Meeting Organization: Assist with organizing our weekly Faculty Meetings. Create and print agenda. Record, distribute and store meeting minutes. Schedule and monitor follow up tasks.
  • Clerical support to include data entry, filing, document/basic graphic creation, records requests, photocopying, printing.
  • Support the Administrative Team by assisting with correspondence and scheduling for Enrollment and Events.

Job Requirements and Qualifications

  • 3 years of experience in a professional administrative role or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities to perform the essential job functions. Experience working in a school is preferred.
  • Professional decorum, clear and concise communication skills are critical as a key point of contact for parents, students, faculty, administrators, and business partners.
  • Highly detail oriented, wellorganized, and collaborative individual who enjoys working in a teamdriven environment.
  • Ability to multitask in a cutting edge environment, while always maintaining a customer service focus.
  • Ability to write business correspondence and procedure manuals.
  • Ability to think ahead, selfmanage, prioritize deadlines and be flexible.
  • Proficient in the Google Suite, especially Google Calendar, Docs, Sheets and Forms.

Schedule

  • In person: Monday-Friday, 7:30am to 3:30pm during the school year.

Available to answer incoming calls, remote:
Monday-Friday, 3:30pm to 5pm.

  • Flexible schedule in the summer.
  • Time off: 1 week for Fall Break, 2 weeks for Winter Break, 1 week for Spring Break, annually.

Pay & Benefits
- $17 per hour
