***: The PAC Team Lead reports to the Patient Access Center Manager and assists in the day-to-day operations of the department for both Provider Scheduling and the Clinical Navigation Team. The role will require open dialogue between the Team Lead, the PAC department and all the offices that the PAC department schedules for. The Team Lead will be a functioning scheduler as well as providing assistance to co-workers regarding schedule. Accurately coordinates and prioritizes procedures/exams for multiple offices within ECHN (Eastern Connecticut Health Network) for physician practices. Assists as resource in determining the appropriate test and resolving issues without disruption between the patient, provider office and the physicians. This position is responsible for maintaining proper documentation between the PAC team and the doctor's offices. This role will also serve as a resource for the Navigation team to assist with daily operations and issues that arise.


EDUCATION/CERTIFICATION:


  • High School degree required; associate degree preferred.

EXPERIENCE:


  • Have at least two (2) years' experience working in the medical field with sufficient knowledge in the coordination of the office schedules and the specific exams needed for the patients.
  • Medical Terminology.

COMPETENCIES:


  • Must be able to navigate, understand, and instruct others in the proper use of their Allscripts PM Systems.
  • Must be able to navigate, understand and instruct others in the proper use of TEAMS as a form of communication between the PAC team and the physician offices.
  • Extensive Medical Terminology knowledge.
  • Microsoft Word and Excel knowledge are strongly preferred.
  • Knowledge of Medical Insurance.
  • Good understanding of interventional and diagnostic medical imaging procedures.
  • Excellent written and verbal English skills, as well as customer service expertise is necessary.

Job-Specific Competency

  • Provides direction to staff when issues arise within the department.
  • Provides employee feedback, assisting with Performance Appraisals when applicable.
  • Resolves staffing issues, as to placement of staff, obtains short notice coverage for all shifts by generating a schedule well in advance for all areas of responsibility.
  • Monitors quality of employee performance as related to the auditing tool and provides feedback to department Supervisor.
  • Maintains office equipment and supplies when applicable and provides technical support to Scheduling staff if possible.
  • Assists Manager with the orientation and training of new employees to their area's specific policies and procedures by developing and revising the training material as needed.
  • Assists Manager with the responsibility to meet department goals as related to accurate scheduling selection, ACR (abandoned call rate), TEAMS monitoring of both Office Chats and Updates, as determined by ECHN benchmarks.
  • Responsible for running daily reports that support provider scheduling and the Navigation team, this will include daily/monthly statistics.
  • The Team Lead will maintain and clean up TEAMS Communications and report any issues or concerns that may arise to the Manager.
  • Responsible for the daytoday operations when the Manager is not available, including decision making, troubleshooting, issues, and communication with all provider office personnel.
  • Responsible for Daily Staff Huddles.
  • Assists with completion of Time off Approvals.
  • Assists with WIG (Wildly Important Goals) and KPI's (Key Performance Indicator) meetings and tracking standards.
  • Assists with Daily Labor Plan and staffing according to daily volumes.
  • Assists with reporting to the Manager daily data/KPI reports required for reporting by management.
