JOB SUMMARY
Works with members and guests to plan, coordinate and execute events as requested and agreed upon.


ESSENTIAL JOB FUNCTIONS
The essential functions include, but are not limited to the following:


  • Markets and manages event planning for the course, works with members to secure agreements and coordinates activities associated with nongolf events including banquets, meetings and other social events.
  • Ensures all agreements, paperwork and reporting associated with course events is properly completed, distributed to the appropriate departments and maintained.
  • Maintains accurate and uptodate record of event bookings on appropriate tracking system; assists with booking outside events in the absence of the appropriate department head and provides information about all such bookings to the department head in a timely manner.
  • Coordinates event billing and ensures payment is prompt and accurate.
  • May make calls to hosts of upcoming events at intervals of two months, one month, two weeks, one week and three days prior to the event at the request of the General Manager or appropriate department head; informs department heads of any relevant event details learned during such calls.
  • Communicates event needs to other departments and coordinates needs.
  • Attends Responsible Alcohol and Tobacco Service training and adheres to the Responsible Alcohol and Tobacco Service policy.
  • Creates signs to promote upcoming member and nonmember events consistent with the marketing plan and image of the club.
  • Attends, hosts, guides and coordinates member events and activities.
  • Oversees execution of events and insures costs fall within budget and cost analysis.
  • Arranges set up and breakdown of the events and coordinates timing of activities.
  • Follows up with members after events are complete to ensure customer satisfaction.
  • Works events as needed.
  • Demonstrates a commitment to the work and success of the club and the Company by being service
- and solution-oriented, having positive interactions with all club staff and members/guests, and meeting established quality, service and safety expectations.

  • Performs additional assignments per the direction of club or Company managers.
  • Regular and punctual attendance on site for all scheduled shifts is required.

Requirements:


KNOWLEDGE, SKILLS AND ABILITIES

  • Working knowledge in event planning including proper time management, stress tolerance, dependability and problem solving.
  • Ability to provide high level of customer service with attention to detail. Able to plan and coordinate events that provide quality experiences to members/guests.
  • Ability to negotiate, organize, delegate, and prioritize work under pressure.
  • Understanding of safe food handling procedures and process. Able to direct and maintain a safe and secure environment and operation.

EDUCATION AND EXPERIANCE

  • High School Diploma or GED required
  • One year of previous experience in event planning, Food and Beverage operations or related experience.
