Aegis Office Manager Job Description
Reports to the Director of Aegis Chiropractic and Physical Therapy
The Office Manager will be responsible for all administrative tasks and support staff needed to efficiently run the office.
Job responsibilities include but are not limited to the following:
- Responsible for day to day operations
- Hiring, training, scheduling and evaluating administrative staff
- Supervises and ensures adherence to company culture, policies, procedures and standards regarding quality assurance, customer service, patient registration, productivity, data entry, record retention, charting and billing, collections and postings, and the physical facility
- Oversees appropriate scheduling of patient visits and smooth, efficient clinic flow to maintain financial integrity and stability of the practice operation
- Ensures compliance with all federal, state and local regulations including but not limited to HIPPA, OSHA and labor laws related to the operation of the medical practice
Requirements:
Dynamic interpersonal skills, time management and organizational skills, detail oriented, self starter. Knowledge of insurance and healthcare systems. Excellent communication skills and customer service orientation. High ethical standards.
Qualifications:
Bachelor degree required preferably in business, healthcare or related field. Minimum of 2 years supervisory administrative experience in a Medical Office setting.
Responsibilities including but not limited to:
Managing all staff records including personnel records. Supervise staff and meet with staff to problem solve and make/implement policy and procedure to improve the office
Be able to assist office assistants with all duties to make sure there is a smooth office workflow
Responsible for holding staff accountable for data accuracy and productivity, efficient workflow, measure in indicators and analyzing processes to improve practice performance
Assists in the recruitment, onboarding, performance evaluation, and offboarding process of staff to build and maintain a high performing team
Maintains efficient patient care flow through a team approach by planning and implementing customer and staff scheduling in conjunction with clinical leadership
Managing patient medical records and provide informative insurance materials/information to patients
Manage facility and arrange for emergency maintenance/repairs as necessary
Responsible to ensure follow up with billing to ensure financial stability of the office
Accountable for internal and external customer service, including troubleshooting when there is a complaint, and improvements as needed
Supervises inventory, ordering and control of all supplies and equipment needed to deliver practice services
Coordinates internal and external meetings
Analyzes data from practice to evaluate trends in growth, productivity, and to identify referral sources
Implement office policies with approval of Director of Aegis
Chiropractic and Physical Therapy and recommends and develops new approaches, policies, and procedures to continually improve the efficiency of the practice and the services performed

$ $27.00 per hour
