JOB SUMMARY
The Leasing Consultant is responsible for coordinating all activities related to apartment rentals, move-ins, move-outs, and lease renewals.

This position is responsible for interacting directly with prospective and current residents to achieve maximum occupancy and ensure resident retention and client satisfaction.

The Leasing Consultant is also responsible for assisting the Property Manager and Assistant Manager as directed.


ESSENTIAL DUTIES AND RESPONSIBILITIES:


  • Visually inspect entire property (office, models, compactor, vacants, and amenity areas) daily for cleanliness. Inspect and touch up model units. Communicate related service needs to Property Manager.
  • Maintain lease files per policy and procedure.
  • Accurately record traffic from all sources, daily, and convert minimum of 30% total traffic to leases.
  • Follow up with prospective residents, including a phone call within 24 hours and a minimum of two additional follow up contacts.
  • Assist with planning and implementation of community marketing plan to generate traffic.
  • Outreach marketing visits on a weekly basis. Maintain leads and contacts.
  • Pick up trash off the ground, operate trash compactor when necessary and if needed, carry cleaning supplies and/or vacuum up or down stairs to apartment homes, and clean apartment to bring it up to resident ready standards.

GENERAL OFFICE/ADMINISTRATIVE RESPONSIBILITIES:


  • Record resident service requests accurately and in detail to assist the maintenance team in the timely completion of all requests.
  • Schedule and inspect apartments for move in.
  • Receive and acknowledge resident notices and prepare files.
  • Assist in lease renewal procedure:
  • Complete lease renewal printout and submit to manager for approval.
  • Contact each resident by phone prior to 90 days before the end of his or her initial term.
  • Send renewal letters to those residents you are unable to reach by phone.o Type new leases and all applicable addendums.
  • Assemble move-in packages.
  • Keep market survey of competitor rates up to date at least monthly and visit competitors three times annually.
  • Keep all filing current.
  • Schedule guest apartment and clubhouse rentals.
  • Operate office alarm system in conjunction with opening and closing the office.
  • Deliver thorough move-in presentation to new residents.
  • Calculate daily rent, prorate charges, late fees, and percentages.

CUSTOMER SERVICE RESPONSIBILITIES:


  • Communicate clearly to residents, both verbally and in writing, using proper grammar and spelling.
  • Carry and deliver boxes, flowers, newsletters, correspondence, etc. to residents' apartments.
  • Maintain a complete clean and neat appearance. Must adhere to Pioneers Dress Code and Personal Hygiene Policy at all times.
  • Demonstrates customer service skills by treating residents, coworkers, supervisors, and vendors with respect, answering questions in a calm and open manner from coworkers and residents. Responds sensitively to concerns/complaints and exhibits a sense of urgency.

COMPANY RESPONSIBILITIES:


  • Assists the Property Manager and Assistant Manager with other tasks as required.
  • Comply with Pioneer Property Management policies and procedures.
  • Embraces and executes the vision, mission, and beliefs of the Company.

SCHEDULING:


  • Required to maintain a regular schedule which may require working overtime, weekends, and non-traditional holidays.
  • May be required to be on-call and aid during staffing deficiencies on-site.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:


  • Sedentary work typically in an office environment
  • Ability to lift, push and pull up to 25 pounds is occasionally required.
  • Stooping, crouching, reaching, and standing are occasionally required.
  • Talking, hearing, and seeing with close visual acuity are frequently required.
  • Ability to walk around the property several times daily (on uneven surfaces and/or climb several flights of stairs)
  • Driving a golf cart on the property may be required.
  • Ability to work under mínimal to moderate supervision.
  • Ability to tolerate stressful situations.
  • Is punctual and present at work when scheduled.
  • Flexible with the work schedule, including availability to work weekends, evenings, and/or holidays.
