Position Summary:

The operations and accountability clerk supports the accountability department by overseeing and managing tasks as assigned by the senior manager of operations & accountability or designee.

Supports the activity of the operations and accountability department to ensure it is aligned with the school's mission, vision, and core values.

ESSENTIAL FUNCTIONS and RESPONSIBILITIES


General Duties:

  • Duplicates and distributes materials as needed
  • Inputs data, initiates queries and generates computerized reports as requested, establishes and maintains automated records and files, assures accuracy of input and output data, and submits reports to appropriate personnel
  • Assists with ordering and processing of assessment department supplies
  • Attends department meetings as requested
  • Assists with update and assembly of department manuals

Operations and Accountability Support:

  • Supports Senior Manager of Operations of Accountability with execution of tasks, creation of reports, note taking, and other similar tasks
  • Supports the department with planning and scheduling meetings, conferences, and travel
  • Supports with the department communication to teachers, parents, and staff
  • Supports the department with expense reports
  • Supports the department with the placement of purchase orders
  • Maintains confidence and protects department operations by keeping information confidential
  • Supports the updates of the department manuals as needed to ensure that the most accurate information is reflected
  • Supports duties of the registrar, as needed
  • Supports assessment related tasks, as needed
  • Supports the attendance collection and the preparation of P1/P2/Annual ADA reporting
  • Supports the tracking and reporting of student enrollment
  • Assists in organizing board policies and preparing board policy presentations as necessary
  • Supports the master agreement approvals and other compliance documentation collection completed by the compliance support in alignment with audit requirements
  • Supports the compilation of compliance reports and followsup with teachers to ensure all documentation is complete
  • Supports the preparation of audit documents and files related to the audit
  • Supports the work of the compliance support team in document checking for the purposes of the audit

Other Duties:

  • Responds to all school related communication within 24 business hours
  • Documents and refers to the school's management all formal disciplinary actions involving students; supporting management with addressing and resolving complaints from students and parents in a timely manner; ensuring compliance with the provisions of California Penal Code Section Child Abuse and Neglect Reporting Act)
  • Performs other duties as assigned

QUALIFICATIONS GUIDE
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.


Education & Experience:

  • Two (2) years of clerical or secretarial preferred
  • Some college level coursework related to the responsibilities of the position desired

Other Qualifications:

  • State and federal background clearance (LiveScan) to work with students (Ed. Code No prospective employee can report to work without this clearance being received and Human Resources notifying the immediate supervisor of this clearance
  • Proof of a clear TB test or completed tuberculosis risk assessment questionnaire and certificate of completion by a health care professional dated within the last 60 days (Ed. Code 49406 and AB 1667) upon employment and thereafter updated every four years
  • Hold and maintain a valid California Driver's License; proof of automobile insurance; and full time use of a dependable automobile that is insured pursuant to California regulations

Knowledge:

  • Computer and technology literacy:
  • Operate office equipment including a calculator, copier, fax machine, computer and assigned software
  • Google docs, Google spreadsheets and other online collaboration tools to send and receive information
  • Basic arithmetic calculations
