    Department Summary

    Administrative Services oversees multiple business hubs and Shared Service organizations throughout the University.

    Located within the Finance and Administration portfolio, the objective of the division is to provide efficient, strategic and specialized administrative services to support the missions of various departments, schools and colleges at the University of Oregon.

    Administrative Services focuses on department-specific budget, finance, payroll, human resources and procure to pay functions.

    Administrative Services is a metric driven, people first administrative team that strives to create efficient, effective and sustainable administrative support structures across campus.

    External Relations Administrative Services (ERAS) is a sophisticated shared services unit with the Administrative Services Portfolio. ERAS provides essential services to promote the university's priorities and operate within a framework of efficient business practices.

    All ERAS professionals serve in partnership with the complex divisions of University Advancement (UA), Government and Community Relations (GCR), and University Communications (UC).

    Additionally, services are provided to the UO Board of Trustees, the University of Oregon of Oregon Alumni Association's (UOAA) Board of Directors, and other boards and volunteer bodies.


    The units supported by ERAS constitute a complex business enterprise consisting of more than 200 employees and a total budget in excess of more than $25 million.

    The units supported by ERAS involve multiple entities and revenue sources and often require board and volunteer buy-in from the University of Oregon Foundation (UOF) and UOAA.

    Position Summary

    The Talent Specialist (specialist) provides day-to-day support, coordination, and management of full-cycle recruiting, from position description to onboarding.

    Reporting to the Assistant Director of Talent Management (assistant director) and working as a member of a team, this position works with hiring managers within an assigned portfolio to provide guidance, training, support, coordination, and resources at every stage of filling vacant positions.

    In addition, the specialist assists with proactive recruitment by redirecting existing applicants into other suitable roles, conducting informational interviews, and attending career fairs and other events to promote open and upcoming positions.

    This position also plays a critical role in ensuring that search and onboarding processes are equitable and inclusive, and is responsible for promoting and supporting diversity, equity, inclusion, and belonging goals and best practices for the areas ERAS supports.

    The skills necessary for success in this position include being able to clearly communicate rules and policies, staying organized and focused on details, and being able to shift focus as institutional needs and priorities change.


    This position will be the primary liaison for hiring managers and search committees, providing information, advice, and other support to ensure that recruitment efforts are equitable, inclusive, and efficient.

    Using a thorough knowledge of UO policies, best practices, and applicable employment laws, the specialist is responsible for communicating, applying, and interpreting policies and rules to leadership, hiring managers, search committees, and applicants.

    This position requires a strong focus on candidate and new hire experiences and is responsible for developing and updating practices and routines that support positive and efficient interactions for ERAS constituents.

    This position is located in Eugene and is expected to reside within commuting distance of the Eugene campus. Some remote work may be possible, depending upon business needs. The typical schedule for this position is Monday through Friday, 8:00 a.m.

    to 5:00 p.m., but work outside of those hours as well as travel outside of Eugene (primarily to Portland) may occasionally be necessary.

    Minimum Requirements


    Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation.

    Administrative support includes those duties beyond clerical/secretarial such as:
    interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations; OR
    an equivalent combination of training and experience.

    One year of postsecondary education may be substituted for up to one year of the experience.

    Ability to handle confidential and discrete information; must sign a confidentiality/non-disclosure agreement.
    Excellent writing, editing, and verbal communication skills.
    Preferred Qualifications

    Experience in human resources, talent acquisition, or similar field.

    Experience updating and navigating a Human Resource information system (HRIS) such as Banner or applicant tracking system (ATS) such as PageUp.

    Experience working in higher education.
