WHO YOU ARE:

We are looking for a detail-oriented Finance Specialist to control and monitor the district's expenses.

You will be responsible for ensuring that activities are in keeping with Board Policy and Regulations as well as State and Federal public purchasing contracts law.

You will also be responsible for all duties that are not directly related to instruction and student achievement including assisting the principal in managing school activities; supervising of classified support personnel; and coordinating activities such as special events; transportation and building maintenance.

  • Bachelor's Degree from an accredited college or university
  • Customer service experience is beneficial
  • Excellent communication skills, both verbal and written
  • Strong organization and time management skills
  • High level of accuracy and attention to detail
  • Ability to multitask and prioritize
  • Excellent administrative skills
  • Strong computer skills and knowledge of databases and relevant software programs

THE ROLE:


  • Prepares and ensures the timely and accurate development and submission of payables check register as scheduled.
  • Review all purchase orders for accuracy in account utilization and ensure proper documentation is provided.
  • Maintains efficient, wellorganized, and updated data collection and filing systems for all documents related to all purchases, including confidential files.
  • Prepares and submits all annual 1099 tax filings and notifications as required.
  • Files accounts payable copies of purchase orders and vouchers including all related documents.
  • Prepares and organizes any documents or reports as necessary for the annual school audit.
  • Maintains accurate and uptodate subledgers for partially/incrementally paid purchase orders.
  • Assemble all payment documents into a payment packet and confirm that all documents are applied to the appropriate purchase order.
  • Inputs purchase orders, receiving copies, and vendor invoices in the accounts payable system.
  • Prepares and distributes vendor checks to appropriate vendors upon board approval.
  • Prepares for and confirms all endofyear purchase orders and closes, rollover, or invoices them, as necessary, to comply with audit regulations.
  • Ensures that all vendors are paid on a timely basis in agreement with terms of invoices, contracts, pricing discounts, price quotes, and Federal, State, and private grants.
  • Creates forms, compiles, and organizes data and information necessary for the efficient operation of the office, the completion of required district and State data collections, and the completion of the administrators' responsibilities.
  • Adheres to New Jersey school law, State Board of Education rules and regulations, Board of Education policies and regulations, and contractual obligations relating to purchasing.
  • Develops process/system (and quality checks) for all activities related to student registration, transfers, and maintenance of student records
  • Create and manage policies and procedures of CHE and NJ SMART (SID only) submissions
  • Facilitate the tracking of all data and systems related to cocurricular clubs, trips, and tutoring activities
  • Partner with the Enrollment & Retention Manager when strategizing/implementing enrollment action items and associated goals
  • Performs other duties as assigned
