Job Summary


In collaboration with the department lead for each program/event, college-wide constituents, college integrated services, and other campus units, oversee and manage the development and execution of department-hosted events, and coordinate department-specific communications to strategically engage key audiences.


Duties & Responsibilities

Event Coordination:

  • Coordinate and manage the planning, development, and execution of departmenthosted events including, but not limited to symposiums, awards ceremonies, workshops, and departmental area events.
  • In collaboration with department stakeholders and planning committees, coordinate all event logistics including room reservations, program details, menus, registration, attendee lists, event staff and volunteers, etc., adhering to university purchasing timelines and regulations.
  • Produce and coordinate event communications including descriptions, invitations, web pages, promotion, and postevent resources in line with college and university brand guidelines.
  • Determine and coordinate event budgets and monitor expenses and receipts for reconciliation.
  • Serve as the main contact for event speakers, vendors, participants, and attendees.
  • Coordinate with college marketing and communications liaison to advertise and promote public events.
  • In line with college and university brand guidelines, create event materials including signage, nametags, and programs as appropriate.
  • Ensure each event appropriately represents the department and meets the college and university brand guidelines.
  • Track and report success metrics for all departmenthosted events.

Communication Coordination:

  • Create and disseminate communications for departmentspecific news, events, and research center activities for multimedia distribution in coordination with marketing and communications integrated services.
  • Create departmentspecific communication materials as needed in line with college and university brand guidelines.
  • Serve as supporting writer, content creator and editor for internal department communications.
  • Create content for internal department communications channels including website, enewsletters, print publications, and print or digital building displays.
  • Assist in developing and executing communication plans for department institutes and research initiatives.

Other Duties:

  • Perform additional appropriate duties to further the mission of the department.
  • Train and supervise student interns to assist with priorities as needed.

Minimum Qualifications
-
Bachelor's degree in Hospitality, Marketing, Public Relations, Communications, Business Administration, Student Affairs, or a closely related field.

  • Two (2) years (24 months) of professional work experience in Events Planning, Conference Management, Public Relations, Communications, Marketing, or any other related field.

Preferred Qualifications
-
Demonstrated experience in event planning.

  • Demonstrated experience in marketing via print and electronic media.
  • Experience researching, shaping, and drafting news stories and feature articles.
  • Experience with maintaining and drafting web content.

Knowledge, Skills, and Abilities
-
Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.

  • Excellent written and verbal communication skills.
  • Strong attention to detail.
  • Ability to create and foster a community within the department that is positive, inclusive, and consistent with the strategy and goals.
  • Ability to work outside of regular business hours, including evenings and occasional weekends.

Appointment Information
This is a 100% full-time Civil Service Events Administrator Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the closing date. Minimum salary is $60,000, commensurate with experience.
