Executive Assistant to VP, Customer Office


This position requires contact with high-level internal and external individuals, and exposure to sensitive information, requiring considerable use of tact, diplomacy, initiative, planning, anticipation, discretion and judgment.

In this position, you must be able to handle a high degree of confidentiality, possess business acumen, be able to connect a wide variety of worldwide activities into a cohesive picture and set of actions, and execute in a quality, timely and appropriate manner.

Principal Responsibilities


The Executive Assistant performs a wide variety of organizational and project-related duties for VP and key staff including maintaining the management system and associated files, presentations, meeting set up, expense reporting, statistical reports and analysis, etc.

Ensures that the VP office and team operate in an efficient manner by supporting calendar management, travel arrangements and other administrative and project related duties.


  • Drives the management system operating calendar and associated deliverables required by attendees. Proactively schedules and communicates to ensure all parties are informed and prepared.
  • Ability to communicate instruction and information effectively at all levels including executives (internal and external), administrative and line management personnel to gather and/or convey information pertaining to the VP requests.
  • Serves as a liaison between the VP and others as requested. Follows up to ensure timely response to projects and assignments. Monitors administrative assignments within the organization to set priorities for meeting deadlines and to balance VP's and own workloads.
  • Screen information on incoming documents which may require VP attention.
  • Perform special assignments exercising independent judgment.
  • Responsible for assisting with and preparing various statistical, operating and administrative reports.
  • Assists in the coordination, organization and planning of meetings/functions/seminars with internal and external stakeholders. Responsible for the coordination of all travel logistics i.e. itineraries, appointments, locations, transportation, etc. Because of the nature of ADI's business, must be comfortable guiding activities with a globally diverse group of people. Attends onsite as necessary to ensure smooth execution of staff related meetings and events.
  • Maintains Resource Directories, share point site, organizational charts, and other reporting systems as required. Keeps updated on the latest technology to most effectively perform the role.
  • Delivers special projects as assigned that can include collecting/analyzing data, developing/administering surveys, coordinating meetings/events and preparing memos/presentations.
  • Takes initiative to identify other duties/projects as needed
  • Identifies and implements improvements to the efficiency and effectiveness of projects and deliverables.
Typical Education/Experience

  • Highly motivated selfstarter
  • College degree favored and a minimum of 5 years of support experience at the VP level, or equivalent combination of education and experience in a public company
  • Excellent communication skills (verbal and written, with an emphasis on grammatical skills)
  • Excellent organizational and time management skills
  • Experience interfacing with other countries outside of the U.S.
  • Professional appearance, demeanor and behavior

  • Ability to work with mínimal guidance and comfortable with a staff that travels extensively
