OVERALL DESCRIPTION:

Responsible for management and coordination of all administrative, secretarial, and clerical activities, budget preparation and control, department records, etc. of the Department/Division, including interaction with the executive staff, private corporations, and other management groups.


SPECIFIC RESPONSIBILITIES:


  • Manages daily administrative functions for the Chief Technology Officer which includes scheduling appointments, receive, and disseminate information, relieving manager of clerical and minor business details.
  • Prepares various reports, PowerPoints and/or Spreadsheets and related documentation in support of the Chief Technology Officer.
  • Resolves minor policy issues and facilitates communications between the department head and departmental staff and subordinates.
  • Serves as divisional copy editor for publications including briefings reports presentations and other messaging materials.
  • Interfaces with various levels of management both inside and outside the Authority.
  • Prepares and compiles payroll and handles all Human Resources transactions via the current internal software platforms. Prepares confidential documentation.
  • Prepares and coordinates travel arrangements for staff.
  • Must be able to maintain a high level of confidentiality regarding work performed.
  • Complies with all Authority and departmental safety and security policies and procedures as well as applicable job safety responsibilities. Reports and safety concerns, compromises, or hazards affecting operations, the public, self and/or other employees. Responsible for personal safety and is encouraged to promote the safety of others.
  • Assists the Chief Technology Officer formulating and implementing administrative policies, practices, procedures, and assists in the preparation of the Information Technology strategic plan.
  • Performs other duties and assignments as directed.

QUALIFICATIONS AND EXPERIENCE:


  • High School Diploma or equivalent. with a minimum eight (8) years of administrative/ secretarial experience in office procedures and reports required.
  • An equivalent combination of education and experience (one (1) year of post highschool education equating to two (2) years of relevant experience) may be consider in lieu of the above listed requirements.
  • Must possess excellent typing Microsoft Word and Excel skills.
  • Demonstrate experience working with highly confidential issues and materials on a discrete manner as part must possess excellent verbal and written communication skills including fixed spelling grammar and proofreading skills.
  • Strong knowledge of Information Technology processes and procedures.
  • Interpersonal skills required to interact effectively with the wide range of individuals at all levels.
  • Experience formulating and implementing administrative policies, practices, and procedures required.
  • Experience using PowerPoint preferred.
  • Experience assisting in the preparation of strategic plans preferred.
