    Summary:

    We're seeking a highly skilled and organized Agency Operations Manager (AOM) to join our dynamic (and fun) team. As a pivotal piece of our operational success, this role demands a professional who embodies confidence, expertise, and a results-driven mindset. With responsibilities that span executive scheduling, accounts payable and receivable, team capacity management, project management, and office management, the successful candidate will be at the heart of optimizing our business operations and propelling our agency forward.

    The AOM reports directly to the CEO, with a dotted line to the President.

    Responsibilities Include:

    • Office Management: Maintain office supplies, manage relations with office vendors, manage the conference/meeting room schedules, distribute mail, check general inboxes (phone/email), and other day-to-day miscellaneous office maintenance tasks.
    • Executive Scheduling: Efficiently manage and optimize schedules for our executive team by coordinating with clients/vendors to ensure high-value time utilization, and briefing/reminding the CEO/President about upcoming meetings and ongoing obligations (tasks).
    • Internal Events & Special Projects: Assist the marketing team with special projects which may include PR coordination, social media, securing speaking engagements, hosting events at the office, selecting and distributing client gifts, or specific personnel and organizational development initiatives.
    • Financial Oversight: Handle accounts payable and receivable with precision, creating invoices and verifying accuracy against proposals and time records, leveraging QuickBooks for financial management.
    • Bookkeeping: Reconciling the monthly credit card and banking statements, tracking budget to actual revenue and expenses, accurately gathering and invoicing reimbursable expenses, creation of the monthly profit and loss report, supporting the CPA and CFO as needed.
    • Team Capacity Management - Forecasting: Strategically forecast team capacity against open/proposed work to ensure current and future projects are adequately staffed and resources are optimally allocated.
    • Project Management: Assisting the Sales and Account Executives with the creation of project plans in Asana (our pm tool) for new clients.
    • General Executive Support: Assist the CEO and President in dealing with confidential or sensitive personnel or other organizational matters, and collaborating with them foster a success-oriented, positive, high-integrity organizational culture.

    Experience/Education:

    • At least 3 years of operations management and/or bookkeeping experience with a solid foundation in basic accounting practices and Quickbooks Online
    • Bachelor's Degree; Business Administration, Management, or Accounting preferred but not required
    • Excellent organizational skills; adaptable and able to multitask, with demonstrated resourcefulness in setting priorities
    • Strong sense of accountability, integrity, and ability to handle highly visible responsibilities
    • Strong verbal and written communication skills; ability to execute on innovative ideas. Ability to write reports and business correspondence with outstanding grammar and proofreading skills
    • Working knowledge of Asana or similar project management software
    • Marketing Agency, Marketing Automation, CRM usage experience, Harvest/Forecast experience all considered a plus
    • A "get it done" and "I'll figure it out", positive attitude
