Roberts Markel Weinberg Butler Hailey (RMWBH) is looking for an Office Facility Coordinator to support and assist the facilities team in all office procedures and other tasks as assigned by the Facilities Director or CEO.

You will be the first point of contact for internal and external employees/customers seeking support and information related to daily office operations.

You will be responsible for ensuring that all processes and procedures appertaining to general office practices are adhered to at all times in line with company directives and client needs.


Responsibilities:


  • Coordinate with building management to manage office deliveries, maintenance requests, and general inquiries.
  • Aid in new hire onboarding Process new hire requests for building and parking access.
  • Handle mail preparation, metering, and dispatch to the post office.
  • Exhibit a genuine commitment to providing exceptional service.
  • Ensure the office environment reflects professionalism and luxury standards.
  • Oversee regular maintenance and upkeep of company premises.
  • Manage supplies inventory, contracts, greeting visitors, mail runs, office cleaning, and stocking the coffee bar.
  • Procure and install new equipment as necessary.
  • Receive, log, and distribute incoming shipments.
  • Proficiently operate multiple software programs concurrently.
  • Coordinate reservations and maintenance for Shareholder cars.
  • Create and manage inventory records.
  • Generate ticket orders for vendor issue resolution.
  • Manage document processes including shredding, scanning, and filing.
  • Interact professionally with staff, clients, suppliers, and visitors.
  • Coordinate all Facilities activities and provide support systems as needed.
  • Prepare internal billing and documentation for supported events.
  • Maintain strict confidentiality regarding client and staff information.
  • Uphold the highest standards of professional appearance and communication.
  • Safely move and handle objects weighing up to 55 pounds independently, and heavier objects with assistance.

  • Move, lift, carry, and place objects weighing less than or equal to 55 pounds without assistance and in excess of 55 pounds with assistance.
  • Genuine desire to maintain a clean, organized, and professional office
  • Genuine desire to solve problems
  • Strong verbal communication skills
  • Show empathy to all employees when handling requests
  • Detail oriented with excellent organizational skills
  • Ability to work independently and be a valued member of a team
  • Proficiency in all Microsoft Office programs
  • Previous hospitality industry experience preferred (hotel, restaurant, retail sales, etc.)
  • Business professional dress code
  • Must have a valid Texas driver's license
  • High School Diploma required
