Key Responsibilities:
- Handle administrative intake of legal matters to maintain new clients and matters.
- Organize and maintain files and records.
- Provide general administrative support, including managing law firm calendars, handling correspondence, and assisting with data entry.
- Manage confidential matters with discretion and exercise good judgment in all tasks, especially those impacting client matters and firm operations.
- Prepare documents, presentations, reports, and agendas to support organizational objectives.
- Oversee and support all administrative duties in the office and ensure that office is operating smoothly.
- Manage office supplies, maintain inventory, track correlating budget, and manage relationships with vendors.
- When approved, draft, circulate, and ensure compliance with standard operating procedures and officewide policies; identify opportunities for office management improvements.
- Support legal team in organizing in various administrative tasks.
- Close completed matters and files.
- Assist in coordinating marketing activities and promotional events.
- Create and manage content for the company's website and social media platforms.
- Follow up on outstanding invoices and ensure timely payment.
- Perform well in a fastpaced environment and handle additional duties as assigned.
Qualifications:
- A minimum of 1 year experience in office administration and/or operations, preferably in a legal office.
- Capability to handle sensitive information with discretion.
- Proficient in Microsoft word, excel, and knowledge of or the ability to learn other case management systems.
- Business acumen and ability to prioritize effectively.
- Experience in administrative work.
- Impeccable attention to detail, strong organization skills, highlyorganized, and an ability to monitor and prioritize multiple competing tasks.
- Teamoriented mindset with excellent interpersonal skills, professional demeanor, and a proactive approach.
- Customer service orientation and commitment to excellence in all tasks performed.
- A demonstrated record of leadership with a solutionoriented mindset.
- A selfstarter and motivated individual who has strong analytical abilities and problem solving skills.
