The Job


The Payroll Administrator is responsible for processing payroll in a multi-state and multi-company environment, performing audits on time keeping records and other payroll data, providing backup support on garnishments and levies, managing paid time off accruals and reconciliation, maintaining payroll documentation and procedures, preparing management reports, providing tax and wage and hour compliance support, assisting with system configuration, coordinating worker's comp audits and compliance reviews.

This role also provides support to employees and provides backup support to the Payroll Manager when unavailable or when assistance is needed on special projects.


You Will

  • Process the biweekly payroll, including new hires, leaves of absence (LOA's), bonus payments, other incentives/awards, retro payments, deductions, terminations, and transfers.
  • Prepare payroll processing related reports including biweekly import files, commission overtime premium calculations, retroactive pay calculations, LOA and New Hire adjustments.
  • Provide backup support for employee garnishments and levies, including communication and filings with appropriate entities.
  • Review and audit payroll system and time entry data to ensure wage and hour compliance as well as payroll tax compliance.
  • Review employee records to ensure that payroll and time keeping data are in compliance with Company policies.
  • Review time entry validation and payroll audit reports to verify accuracy, resulting pay implications and company policy compliance.
  • In coordination with Payroll Coordinator, maintain the integrity of the manual check process ensuring each manual check has appropriate documentation and approvals. Follow up with Treasury to process Positive Pay file. Issue stop payments, reversals and voids where applicable. Track and retain necessary documentation as appropriate.
  • Research and resolve all employee pay issues and communicate findings to affected employees and management.
  • Provide valid, accurate, and complete payroll data and reports to the Finance Department for support of journal entries and account reconciliations.
  • Develop and maintain spreadsheets; utilize reportwriting tools to develop ad hoc reports to summarize or provide payroll information and analysis of payroll data for budgeting and reporting.
  • Assist Payroll Manager to ensure that all payroll general ledgers and other systemgenerated reports are provided to accounting team.
  • Provide metrics to the Management by developing highlevel reports from the Business Intelligence Reporting tool within the payroll system (UltiPro).
  • Serve as the point of contact for matters related to internal and external worker's comp and financial audits. Establish and maintain payroll documentation to provide upon request from auditor.
  • Use knowledge and understanding to support system configuration and validation of earnings, deductions, and tax codes as they relate to compensation.
  • Perform payroll system testing and configuration changes.
  • Serve as a backup to the Payroll Manager when unavailable or when assistance is needed on training, presentations, special projects and system configuration, including but not limited to set up of new earnings and deduction code, scheduling special/offcycle payroll runs, and maintaining the payroll calendar in the system.
  • Identify process improvement opportunities and proposes enhancements to the current process.
  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Contribute to team effort by accomplishing related results as needed.
  • Actively support the achievement of SCAN's Vision and Goals.
  • Other duties as assigned.

Your Qualifications

  • High School Diploma, G.E.D or equivalent experience is required.
  • Associate's Degree is preferred. CPP designation is preferred.
  • A comparable combination of education/experience and/or training will be considered equivalent to the education listed above.
  • 58 years' payroll experience in a multistate, multicompany environment.
  • Demonstrated knowledge and experience with payroll taxation is required.
  • Payroll software experience is required, UltiPro and/or Workday is preferred.
  • Advanced knowledge of payroll, employment taxes, and wage/hour regulations.
  • Strong communication and customer service skills.
  • Strong organizational skills.
