DUTIES AND RESPONSIBILITIES

d) Ensures that records are stored securely and handled in compliance with HIPAA privacy and security regulations, if applicable.

e) Arranges staff training for HIPAA, OSHA and risk seminars in conjunction with Human Resources.

  • Duties
a) Oversees management of the day-to-day operations of the appointments/operator department ensuring daily processing of patient appointment scheduling, incoming referrals, obtaining required PCP referrals, working EMR buckets/tasks, updating referring physicians, correct routing of incoming calls, op report/consult retrieval and upload, mail and fax management, etc

b) Ensure all appointments/operator staff provide quality, efficient, and non-judgmental telephone customer service to internal and external customers. Ensure written communication with clinical teams is professional and follows practice policies and established rule sets.

c) Oversees entry and maintenance of referral sources and appropriate referring provider entry into the EMR for reporting to practice administration and marketing

d) Maintains rapport with personal injury staff for scheduling of LOP patients

e) Coordinates with the Patient Access Manager for hiring and supervision of the Patient Access Specialists, which includes work allocation, training, auditing, coaching and achieving established productivity standards and key revenue cycle metrics. Motivates staff to achieve peak productivity and performance.

f) Develop and maintain standardized protocols, scripts, etc to be followed by staff for appointment scheduling and management of various scheduling scenarios


g) Collaborate with Patient Access Manager to monitor and maintain protocols in both the EMR and with scheduling software (Relatient) - insure consistent and proper utilization of these tools by the staff.

h) Train as secondary/backup to EMR schedule template building

i) Identify performance improvement activities or reallocation of work assignments by monitoring tasking queues and reports

j) Collaborates with clinical staff and other patient access departments to reduce wait times and barriers to access as the pertain to scheduling or referrals/records required for scheduling or second opinion.

k) Collaborates with the Verifications/Authorization Supervisor, Patient Access Manager and RCM/Operations Direction on the development and implementation of monthly audits and other reporting to ensure efficient function of the appointments department and staf
