Staff Assistant

This position requires an active SECRET clearance.
A Staff Assistant will provide office management, scheduling, travel, research, and records management support.


Compensation & Benefits:


Estimated Starting Salary Range:
$104,551.77

Pay commensurate with experience.


Staff Assistant Responsibilities Include:


  • Scheduling: Provide scheduling support to the Under Secretary by maintaining and updating the daily schedule. This includes managing the Under Secretary's official calendar, scheduling meetings, registering for events, producing a daily schedule card, handling motorpool requests, and escorting guests to the office suite. Additionally, the individual will need to conduct a daily checkin in the morning and a checkout in the evening with the Under Secretary to review the day's activities and provide any updates.
  • Travel Preparation: Oversee the Under Secretary's travel including researching flights options and drafting a buckslip with proposed travel itinerary, making travel arrangements via E2 solutions, preparing and submitting country clearance requests, securing hotel rooms, overseeing seat selections for flights, securing fund cites for travel related expenses, checkingin the Under Secretary for flights, and preparing vouchers.

Logistical Support:

Implement tasks such as answering the telephone, initiating calls with foreign interlocutors, greeting guests in the office suite, setting up coffee and tea for external meetings, ordering office supplies, maintaining a gift registry, and drafting general correspondence such as thank you letters.


Staff Assistant Experience, Education, Skills, Abilities requested:

  • Requires SECRET security clearance and ability to obtain a TOP SECRET security clearance and favorable SCI determination.
  • One (1) year or more work experience providing administrative support to a senior official at an Assistant Secretary level or above.
  • Knowledge of E2 solutions for travel and familiarity with State Department travel rules and regulations
  • Familiarity engaging with foreign delegations and representatives.
  • At least one year of experience working in a busy office setting.
  • Ability to solve problems and encourage consistent, solid performance.
  • Strong written and spoken Englishlanguage communications skills.
  • Ability to manage multiple tasks, coordinate activities in multiple locations, act decisively in daily work, and work well in a multicultural team environment.
  • Strong organizational, interpersonal, and computer skills.
  • Ability to travel CONUS and OCONUS
  • Must pass preemployment qualifications of Cherokee Federal.
