GENERAL DESCRIPTION:


  • The Administrative Assistant provides clerical and administrative support to the Office Administrator. The Benefits Specialist is primarily responsible for data entry for DSS, DDS, EVV and financial systems. The Administrative Assistant will act as receptionist when needed and complete other department paperwork as directed.

QUALIFICATIONS:


  • Minimum of high school diploma.
  • 3 years' experience in business field.
  • Requires excellent computer skills including experience with Microsoft Word and Excel, Web based programs such as CT Connect, etc.
  • Excellent organizational and detail specific skills

ESSENTIAL JOB RESPONSIBILITIES:


  • Review incoming direct care documentation for quality assurance of Individual Tracking Sheets and enter units into WebResDay/EVV, ensure individual Progress Note is attached to Tracking Sheets, etc.
  • Review Attendance Documentation for DSH Program before entry to WebResDay
  • Reconcile food stamp ledgers by accessing DSS CT Connect, and auditing receipts received
  • Audit and revise electronic residential financial ledgers monthly
  • Type letters, memos, mailing notices, etc. as requested Audit other paperwork as requested by Director of Community Connections.
  • File paperwork (reports, monthly data sheets, incident reports, chronological summary of activity, comments, etc. accurately and timely.
  • Maintain and update file system and ensure that old files are back dated and stored accurately. Accurately prepare all correspondence, forms, reports, and documentation as required.
  • Assist in reception to greet and help individuals when assigned. Answer phones, take messages as needed. Make copies, send, receive and/or distribute faxes
  • Manage contacts with families, residential providers, or visitors regarding transportation.
  • Work with Director to update/add/make changes to the Therap & EVV Systems
  • Provide quality assurance of the IT Programs for proper documentation to meet State and DSS/DDS guidelines (EVV, Webresday, Therap etc.).
  • Compile information (benefit communications) for residents, complete documents on benefit forms written or online, and informing appropriate individuals when there is a discrepancy (DSS, SSI, SSA.)
  • Review active DSS accounts for documentation compliance, complete redetermination documentation as requested and start new accounts as needed.
  • Organize, review, and keep updated for accurate compliance with DDS regulation guidelines for all Training Books. In addition, update staff compliance documents to send to Program Managers.
Monday through Friday: 9:00a-4:30p
