    Patient Scheduling Operator - Jackson, United States - St. Johns Health

    Description
    *Remote roles based outside of our primary office in Wyoming can sit in any of the following states: AZ, CO, GA, ID, IL, LA, MI, MO, MT, NV, OK, OR, SC, TN, TX, UT and WA.     Job Summary:

    The operator will promptly answer patient calls and assist with scheduling appointments for either new or established patients for the clinics.

    The operator will also help patients with their insurance eligibility questions and any related queries. Operator will utilize extensive hardware and software, to include EMR applications, to complete daily tasks. Remote position and must have technical knowledge.

    Essential Functions:

    1. Friendly & Efficient Communication
    Acts as first point of contact for all incoming phone calls.

    Provides friendly and efficient communication with patients and nursing staff via phone and EMR, while scheduling appointments, relaying information, answering questions, returning messages.

    The operator will be answering inbound calls.

    The majority of those calls will come from patients in need of assistance with the following topics:

    Requests for new patient registrations, scheduling routine appointments, verifying insurance information, changes or modifications of appointments, requests to connect to nurses or physicians in a clinic, and general inquiries.

    Must have the ability to work in a fast-paced environment with changing priorities.

    2. Accurate & Timely Documentation
    Enters patient information into all systems in an accurate and timely manner. Fields multiple phone calls using proper phone etiquette and maintaining patient confidentiality, while remaining organized and calm. Utilizes excellent verbal, grammar and spelling skills in all communications.

    3. Customer Service
    Maintains relationships with patients to ensure high quality customer service and quality care. Demonstrates superior listening skills and shows empathy and compassion to a patient under distress or in pain. Demonstrates ability to communicate effectively (professionally and with tact) with all contacts, especially in difficult situations. Remains positive, patient and flexible, and maintains composure, even when working through difficult situations. Effectively researches and resolves issues, such as patient accounts, scheduling and registration, provider availability on the schedule, etc. Works proactively to maintain and build a relationship with the patient. Responds in customer friendly manner to all patient inquires. Refers patients to the appropriate person if needed.

    4. Scheduling
    Schedules phone and faxed requests in a prompt and courteous manner. Manages difficult and interdepartmental scheduling with minimal delay to the customer. Correctly utilizes scheduling features of the EMR and accurately inters all mandatory information. Manages cancellations and any emergency situation, if needed.

    5. Assists with Clinic Operations
    Demonstrates ability to multi-task efficiently – proficient with handling multiple tasks on a computer at the same time. Demonstrates ability to research information as needed. May assist with pre-registration and reminder calls based on business needs. Other duties as assigned.

    Job Requirements:

    Minimum Education


    Required: High School Diploma or equivalent required. 1 – 2 years of experience in medical or related field will be required. Knowledge of medical terminology and procedures.

    Preferred: Medical scheduling experience preferred. 2-year associate degree or 4 year college degree preferred. Any certifications in the medical field or Medical Assistant's certification preferred.

    Minimum Work Experience

    Required: Medical front desk experience required. Must be familiar with answering phone calls from patients, registering and scheduling appointments. Excellent communication, phone and customer service skills required. Ability to problem solve difficult/stressful situations. Must have experience with scheduling systems and use of computer software.

    Preferred: Experience with insurance billing, and/or medical admitting/cashiering. Medical or general office/customer service experience preferred. Understanding of medical terminology recommended. Bi/Multi-Lingual is a plus for this position.

    Functional Demands:


    Working Conditions:
    Home/virtual office, on-site office, frequent interruptions and phone calls.

    Physical Requirements: 8 to 10 hours per day sitting and computer use. Intermittent standing and walking. Occasional reaching, stooping, bending, twisting, pushing, pulling and reaching.
