SUMMARY:


Reporting to the School Principal, the Administrative Assistant will oversee the general administrative functions and activities of the school office.

The Administrative Assistant will coordinate office activities and operations while providing clerical and administrative support to the Principal and other school staff.

This position carries out tasks requested by the network office.

The Administrative Assistant ensures compliance with network policies and procedures as well as laws and policies set forth by the Department of Public Instruction.

As an ambassador for the school, the Administrative Assistant interacts with the school staff, students, parents, network staff, members of the community and visitors.


ESSENTIAL FUNCTIONS:

  • Provides clerical support to assist school staff with assigned administrative duties such as answering phones, filing, sorting and distributing mail, and preparing documents.
  • Enters data into the systems (e.g., attendance, immunization records, school meal records) with a high degree of accuracy and according to deadlines.
  • Generates standard reports, ad hoc reports, government compliance reports.
  • Maintains records, documentation, and files, including confidential records. Implements an efficient system for other staff to access files and records.
  • Provides first aid to students and administers medication according to medical orders on file.
  • As a key holder, responsible for opening the building timely on a daily basis.
  • Provides oversight of students who may arrive prior to the start of the school day.
  • Welcomes and screens visitors to ensure only authorized visitors enter the school.
  • Oversees petty cash fund and the collection and deposit of cash and checks.
  • Reviews school invoices for accuracy and prepares a request for payment.
  • Maintains inventory of office supplies and orders new supplies as needed.
  • Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs.
  • Makes timely updates to the school web page to keep it current.
  • Acts as liaison between school staff and network staff as needed.

REQUIRED SKILLS, ABILITIES AND/OR LICENSURE:

  • Ability to type at least 60 words per minute.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Demonstrated ability to interact with a diverse population of stakeholders.
  • Ability to function well in a fastpaced environment.
  • Ability to prioritize tasks.
  • Proficient with Microsoft Office Suite.

MINIMUM EDUCATION:
High school diploma or equivalent is required. Associate's degree in a job-related major is preferred.


MINIMUM EXPERIENCE:
Five (5) years of administrative and clerical experience required.
