Receptionist/Front Desk


General Job Description:

The Receptionist will direct the flow of telephone calls to appropriate staff.

Greet consumers in a warm and professional manner, and ensure that consumers are directed, and seen by scheduled staff in a timely manner.

Work closely with the Clinical Director, Intake Coordinator, and Team Lead to ensure the front office is coordinated in an effective, and efficient manner at all times.


Duties & Responsibilities:


  • Make coffee/Put fresh water in the kettle & turn on as soon as you arrive
  • Change telephone from night mode
  • Answer multi line phone and direct calls to appropriate staff
  • Schedule appointments electronically for Diagnostic Assessments, therapy, and medication management services
  • Confirm all appointments for the therapists and psychiatrist, as well as intake appointments the day prior to scheduled visit
  • Check copier in the back (kitchen area) for incoming faxes upon arrival in the morning, midday, and prior to departure each day
  • Maintain consumer flow by ensuring that consumers are seen in a timely manner by psychiatrist and therapists.

Wait time should not exceed 30 minutes:


  • Ensure all consumers sign in upon entering the facility
  • Verify insurance eligibility through DC Medicaid for
    each enrolled consumer
    prior to receiving services.

When consumer arrives verify insurance, address, and telephone number prior to services being rendered by asking consumer if anything has changed

  • Maintain consumers' daily sign in sheets by filing in consumer "Sign In" Binder

Intake report should address the following:
a) Name of consumer

b) # of consumers scheduled

c) # rescheduled

d) # seen or;
e) Services provided i

diagnostic assessment, DLA20/CAFAS, Gain(ss), crisis plan, treatment plan

f) Name of clinician providing the service

  • Ensure information is entered in
    inSync for all new and current consumers:


  • Primary Care Physician

  • PCP enter in External Provider Tab
  • Emergency Contact enter in Contacts Tab
  • Assign to a team enter in staff Tab you will enter names of psychiatrist/NP, CSW, therapist and team leader
  • Assemble Care point packets
  • Respond
    timely to requests from the Social Security Administration
    within 7 calendar days of receipt of the request. Provide weekly update to the COO regarding the status of all requests

Conduct monthly fire drills:


  • Take trash out from all offices, kitchen area, and restrooms on Monday, Tuesday, Thursday and Friday
  • Report to the COO
  • Other duties as assigned.

Preferred Qualifications:


  • High School Diploma
  • Knowledge of InSync a plus
  • Experience in filing alphabetically
  • Exceptional customer service and communication skills
  • Excellent organizational skills; able to handle multitasks
  • Professional appearance and excellent work ethic
  • Detail oriented and team player
  • Proficient in Microsoft word, excel, publisher and Microsoft Office outlook
  • Must pass metropolitan police clearance, criminal background check, child protection registry clearance, drug and health screening

Doctor days

  • When consumer arrives, go into inSync
  • Open schedule
  • Click on Consumers name
  • Click under status and choose arrived
  • Ensure consumer signs in
  • Ask if there has been any change in insurance, address or telephone number
  • Seen by nurse for vitals
  • Seen by psychiatrist
  • Ask if prescription should be faxed to Pharmacy of consumer 's choice or is consumer taking the prescription to their personal pharmacy. If consumer wants prescription faxed
  • Tape prescription on medication log,
  • Complete consumer name and date of birth using inSync
  • Fax to Grubbs Pharmacy, Fax #
  • Schedule appointment in inSync
  • Give appointment card to you consumer
