Join our team as a Property Coordinator and play a pivotal role in supporting the strategic management of operations at premier life science campuses.

You will assist our management team with financial and accounting functions related to property management, maintenance, and construction activities. In addition, you'll provide essential clerical and administrative support as needed. Utilizing your exceptional customer service skills, you'll help manage tenant, vendor, and community relations.

This position offers a hybrid work model, which includes 4 days in office and 1 day remotely. Hybrid work may be modified based on the needs of the company.


Key Duties and Responsibilities:


  • Conduct various accounts payable functions such as purchase order generation and execution, and invoice coding and approval.
  • Support property level accounts receivable activities by sending out monthly rent statements and monitoring monthly accounting reports to ensure the teams compliance.
  • Assist in preparing budgets, timelines and plans to meet the operational strategy of the portfolio.
  • Support Property Team in the production, promotion and execution of community and tenant engagement programming in line with the company's environmental, social, and governance goals and initiatives.
  • Track environmental, social, and governance initiatives and statistics including waste diversion, utility consumption, and tenant/community engagement activities for the portfolio.
  • Maintain strong relationships with key vendor partners including janitorial, security, landscaping and snow removal and ensure service levels are meeting contractual obligations and BioMed expectations.
  • Perform regular site walks to check on vendor services and the overall condition of the sites, escalating to vendors, managers and facility management counterparts as necessary.
  • Work with the Property Management Administrator to ensure all tenant and vendor contact records for the portfolio are up to date.
  • Respond to requests for information from property management counterparts, other departments, tenants, and management in a timely fashion, prioritizing as necessary and building good rapport.
  • Support the teams notification and coordination efforts for project and maintenance work with all stakeholders including tenants, facilities management, neighbors, security, contractors, etc.
  • Assist Property Management Administrator as necessary to manage and track COI's for tenants and vendors.
  • Assist with preparation and execution of service contracts, rights of entry and space license agreements.
  • Run MRI contract status reports and process new vendor setups.
  • Represent the company in a positive manner to outside agencies and organizations at all times.
  • Perform related duties as assigned by supervisor.
  • Maintain compliance with all company policies and procedures.

Job Specifications

  • Minimum (2) two years' experience assisting with real estate/property management/accounting activities.
  • Accounts Payable and receivable activity experience to include: purchase order management, invoice coding, etc. with additional clerical support responsibilities.
  • Some technical school and/or college coursework, in real estate or property accounting a plus.
  • BS/BA degree or an equivalent combination of education, training and additional experience is required, as well as an ease and facility of working with numbers.
  • Computer proficiency with Word, Excel, Outlook. MRI, Building Engines and Nexus Payable experience a plus.
  • Requires strong verbal and written communication skills and effective organizational and problem solving skills.
  • Selfinitiator with the ability to problem solve.
  • Also requires the ability to maintain an approachable, friendly demeanor and work with competing priorities and demands.
  • Must also be able to develop effective working relationships with staff, vendors, contractors, and tenants.
  • Must be able to work with interdepartmental offices within the organization.
  • Must be organized and task oriented, able to work in a fastpaced, teamoriented environment with multiple deadlines, and adapt readily to changing priorities.
  • Ability to draft and write detailed notes, communications to tenants, vendors, and contracted firms to prepare reports and presentations, and technical information.
  • Detail oriented with the ability to convey information orally and in writing in a clear and concise manner.

Salary Range:
$ $33.66 per hour + bonus
