Full Time 40 hours

Pay Rate $20.00 / Hour

Monday-Friday 9am-5pm

Our Residential Program is looking for a Scheduling Support Specialist. This position assists in maintaining the division staffing function. Upholds focus on Premier services by providing oversight and making improvements in efficiency and effectiveness.


Essential Functions:


  • Assists with the implementation of new and/or existing operating practices as identified by performing regularly scheduled system audits.
  • Assists in maintaining data on employee usage of sick, personal, vacation time, and overtime.
  • Assigns relief staff to specific areas, maintain contact with relief to ensure the required number of shifts is being completed, assist with purging staff as needed, etc.
  • Assists with the coordination of Residential scheduling to assure best practices are maintained. This includes reviewing all Master Schedules, rolling out schedules for sites when needed in the Scheduling software system, and working collaboratively with all levels of Residential Management to assure adequate coverage is provided.
  • Attends all department meetings to keep current on all activities within the program as well as presents updates on vacancies, overtime, orientation, and any other areas related to scheduling.
  • Works in collaboration with the HR and Fiscal Departments to assure accurate FTE complement is attained, maintained, and filled with the appropriate staff. Reports should be generated to evaluate current practices and to establish trends with regard to staffing.
  • Suggests and presents for review potential new procedures to Scheduling Coordinator to assist in maintaining best practices and updating administrative policies, procedures, methods, and guidelines as needed; communicating new/updated procedures, methods and guidelines to Residential staff as directed by the Vice President of Residential Services.
  • Assists in maintaining scheduling software. Must import information as needed and keep the system live at all times. Must act as the liaison between Scheduling software and any other software that is utilized.
  • Works in conjunction with the Human Resources Department in areas of employment.
  • Maintains rapport with all Residential staff, managers, and other Agency employees by utilizing consistent communication protocols.
  • Assists in the creation and presentation of applicable trainings to staff members at all levels.
  • Reports and reacts accordingly to all noncompliant operating practices by effectively communicating with all parties in a professional manner.
  • Maintains continuity of work operations by documenting and communicating needed actions to management; discovering irregularities and determining/identifying continuing needs of the program.
  • Assists with assigned administrative projects by identifying and implementing new technology and resources where applicable.
  • Must work at Residential sites, with the potential to be in ratio when needed.
  • Must carry an agency phone and be responsive during work hours.
  • Perform other duties as assigned.
  • Participate in all staff meetings and required training sessions, including inservice training, as scheduled.
  • Maintain all program and Agency required trainings.

QUALIFICATION REQUIREMENTS:


  • High School Diploma is required
  • Skill in organization, prioritization, and working independently.
  • Skill in communicating and working with others cooperatively.
  • Must have at least 3 years of Residential Experience
  • Must be in good standing in MAP, Safety Care, Human Rights, First Aid and CPR
