Job Brief:

Performs all administrative/clerical functions for the Long Island City Day Habilitation Program.

POSITION DUTIES:


  • Responsible for welcoming guest, staff and individuals to the 1st floor and greeting all personal in a professional manner.
  • Accurately inputs individual's attendance on a daily basis to an Excel spreadsheet and transmitting this data to the fiscal department on a weekly basis.
  • Prepares Purchase Orders with appropriate back up and signatures and maintains appropriate filling system for such.
  • Ensures all invoices of goods and services delivered and accounted for in timely manner. Maintains an accurate and organized system for accounts payable.
  • Submits service work orders for IT equipment, copier and other office machinery to ensure that they are maintained in working order at all times.
  • Answers phones, taking messages and directing calls appropriately.
  • Communicates with vendors to request invoices, statements, updates contracts and resolves issues as needed.
  • Prepares correspondence & reports and letters as assigned. Copies or faxes information as directed to.
  • Assists in the training program participants at the reception desk as to how to buzz visitors into the facility, answer phones and or directing visitors to the proper personnel. Assist in the training of program participants on using the copy and fax machines.
  • Ensure the health, safety and wellbeing of persons we serve. Provide respectful, age appropriate, individualized contact with each person we serve. Promotes teamwork within the office and program. Attends training and workshops as needed.
  • Performs all other duties as assigned.

REQUIREMENTS:


  • Excellent Microsoft Word, computer, communication and organizational skills.
  • Ability to establish and maintain a working relationship with program participants, families, staff and community agencies.
  • Performs all job responsibilities in full compliance with all applicable laws, rules, regulations, policies and procedures. Adheres to the agency's corporate compliance program, including the code of business conduct, the NYS and federal false claims acts, whistleblower protections and mandatory reporting. Completes corporate compliance training at least annually. Fully cooperates in all corporate compliance investigations and reviews.

SPECIFICATIONS FOR PHYSICAL REQUIRMENTS:


  • Associates degree preferred, and one (1) year receptionist/clerical experience.
