Are you someone who pays attention to details and enjoys collaborating with intelligent, humorous, and passionate individuals? We are seeking a proficient business operations administrator to join our Engineering Services (ENGSRV) team.

As a business operations administrator, your main responsibilities will involve supporting the team with accounting tasks, tracking projects, and generating reports for project managers.

In this role, you will oversee resources, aid in procurement of materials and services, and communicate with both team members and upper management.

This position is ideal for those who like working alongside engineers and managing project transactions.

You will be tasked with handling paperwork and data entries, managing material and service orders, issuing purchase orders, invoicing clients, and monitoring the company's financial transactions.


Job Details
This role is currently part-time, but there is potential for it to become full-time as workloads increase. This flexibility allows us to adapt to the changing demands of the team and projects.


Responsibilities
  • Processes billing for the ENGSRV Department.
  • Consolidates, assembles, and distributes invoices according to set timelines.
  • Reconciles receivables with invoices and handles check requests.
  • Prepares and generates reports on a daily, weekly, monthly, and quarterly basis, as required.
  • Manages purchase orders, prepares expenditure requests, researches purchase orders, and tracks order fulfillment.
  • Assists business and project management teams in customer setup and closure processes within our systems.
  • Maintains supplier database and Approved Supplier List.
  • Manages electronic logs of various document types.
  • Collaborates with the team to enhance departmental processes.
  • Performs any other assigned duties.

Requirements
    Education/Work Experience
  • BA/BS degree or 26 years of relevant administrative coordination experience in lieu of a degree.

Skills
  • Essential written, verbal, and presentation skills.
  • Ability to multitask with keen attention to detail and precision.
  • Aptitude for working in a fast-paced team environment with a focus on timeliness and follow-up.

Preferred Capabilities/Experience
  • Proficiency in Sage 50 Accounting or Kantata Project Management software.
  • Previous experience as an administrator in construction, manufacturing, or engineering.
  • Must be a US Citizen or US Resident Alien due to access to export restricted materials.
