JOB SUMMARY:


Under the direction of the Purchasing Manager
, this position is responsible for standard duties in support of the purchasing function of
ACCO (Construction).

This role is responsible for various tasks including, but not limited to the coordination of details with vendors, document administration, organizing vendor lists and files, and the preparation of subcontracts.


ESSENTIAL FUNCTIONS:


  • Data entry: Typing and processing of Subcontracts
  • Maintain subcontract tracking status log(s) daily and distribute to relevant interdepartmental personnel (i.e., AP, Collections, etc.).
  • Followup with vendors on status of outstanding subcontracts daily.
  • Review and send out subcontracts exhibit, regardless of status or issuance type.
  • Processing a minimum of 12 subcontracts a day.
  • Special projects as required and other duties as assigned by management.
  • Data entry: Typing and processing of Purchase Orders.
  • Assist in processing a minimum of 100 purchase orders a day.
  • Mail/distribute POs weekly via USPS.

EDUCATION AND EXPERIENCE:


  • Proficientplus level user of MS Excel and MS Word
  • Strong verbal communication and listening skills, both over the phone and in person
  • Able to work effectively and professionally in a team environment
  • Strong business writing skills, including use of proper grammar and terminology.
  • Able to demonstrate high customer service skills
  • Able to organize large amounts of information while maintaining attention to detail
  • Must be goal oriented and meet deadlines
  • While previous purchasing position experience is preferred, it is not required.
  • Maintain an average of 75 WPM.
  • Maintain an average of 99% accuracy in all data entry

  • While performing the duties of this job, the employee is regularly required to sit, use hands to operate computer keyboard and telephone, talk and hear.
  • The employee frequently is required to reach with hands and arms and at times reach above shoulder height to access storage cabinets. The employee is occasionally required to stand, walk, climb, or balance and stoop, kneel, or crouch (for purposes of filing).
  • Specific vision abilities required by this job include close vision and distance vision.
  • The employee must occasionally lift and/or move up to 10 pounds and occasionally lift and/or move up to 20 pounds.

HOURS:


Monday through Friday beginning between 6:00 am and 7:00 am and ending between 4:00 pm and 5:00 pm, with one hour for lunch.

Eight hours per day is required, and occasional overtime may be necessary due to business needs.
