    Grants and Contracts Coordinator - Fort Worth, United States - ACH Child and Family Services

    Position Function:

    Supports the pre-award activities of the Office of Grants and Contracts and coordinates the office's post-award activities. Encourages programmatic compliance with public grants and contracts. The job requires sensitivity to the service population's cultural and socioeconomic characteristics.

    Requirements:

    Education: Bachelor's degree in Communication Studies, Journalism, Public Administration, Business or a related field from an accredited institution

    Experience: At least one year of professional experience in grants or grants and contracts, collaborating to develop funding proposals, managing funding awards, and collaborating with funded programs to write grant or contract reports for client services, or similar professional experience. At least one year of professional customer service experience.

    Key Expectations/Responsibilities:

    Overall Responsibilities:
    • Maintains general knowledge of grant and contract requirements to encourage programs and departments in compliance
    • Maintains professional demeanor in all interactions with internal and external customers
    Pre-Award Responsibilities:
    • Assists with pre-award discovery activities and communicates with funders
    • Downloads and organizes funding opportunity documents to ensure that team is responding to most recent application version (checks for addenda daily, saves and shares with team)
    • Serves as overall document preparer and document manager for pre-award documents (funding proposals), saving documents to the G drive and maintaining their order
    • Gathers data for proposals as requested
    • Reviews the G&C Team's proposal documents in advance of their finalization to identify errors for correction
    • Submits funding proposals on or before the submission deadline
    • Serves as lead for some single-year proposals, supervised by the Director of Public Grants and Contracts
    Post-Award Responsibilities:
    • Compiles award packages for grant and contract awards at award, saves to G and P drive and provides to the Grants and Contracts Associate for the Master G&C Spreadsheets
    • Reviews funding award agreements at the time of award and prepares a summary of all required program outputs, outcomes and processes, noting agency and departmental responsibilities and requirements as well as any key changes in the funding award agreement, saves to the G and P drives and provides to the Grants and Contracts Associate for the Master G&C Spreadsheets
    • At the time of a new or multi-year award, gathers all internal parties for an initial post-award meeting to provide the written summary and review obligations
    • Does quarterly check-ins with funded programs to see if they have TA needs or other post-award assistance needs
    • Updates Finance and Human Resources electronic binders on G and P drives on an ongoing basis as needed and notifies users by email of changes
    • Pre-populates ongoing programmatic reports completed by program staff for funding awards, to support and expedite their responses. Requests their completion of those reports. Reviews their work for responsiveness to funder's requirements, notes areas for improvement, uses the G&C Style Guide to meet Team standards and notes questions in the draft for a meeting with program staff completing the report. Produces next draft to collaboratively produce reports that meet funder requirements and G&C Team's professional work product standards. Uses standard quality control and process review and approval process and saves all drafts as received and final products to the G drive
    • Submits programmatic grant and contract reports
    • Leads the team's efforts to coordinate and support public grant and contract monitoring by external funders. Serves as the primary liaison between ACH and the external funder monitoring the grant or contract unless the monitoring is purely fiscal.
    • Participates in monthly grant review meetings convened by the Finance Department
    • Serves as an ongoing internal post-award contact for funding awards, providing support and technical assistance to internal customers

    Requirements
