Description
The Administrative assistant oversees the day-to-day administrative duties and operations of the company. The individual in this role supports other team members through a variety of tasks related to organization and communication.The administrative assistant works with technicians, project managers, designers, sales, and other administrative staff to build rapport with clients and maintain high levels of client satisfaction.
Essential Functions:
- Answer and direct phone calls to relevant staff
- Schedule meetings and appointments
- Prepare documents for meetings, appointments, and business trips
- Take notes and minutes in meetings
- Order and take stock of office supplies
- Serve as a point of contact for staff and external stakeholders
- Process and direct mail and incoming packages or deliveries
- Greet and direct visitors and new staff to the company
- Research and book travel arrangements for staff members
- Coordinate repairs and maintenance of office equipment, including copiers, fax machines, computers, printers, etc.
- Find ways to improve administrative processes
- Perform related duties as assigned

Education & Experience:
- Minimum of a high school diploma required; postsecondary degree or certification preferred
- Previous experience in an office environment required
- Proficiency in MS Office with expertise in Microsoft Outlook, Word, PowerPoint, and Excel required
- General knowledge of bookkeeping, accounting, and human resources preferred
