MINIMUM QUALIFICATIONS EDUCATION AND/OR TRAINING:

Strong communication skills, precise attention to detail and organization. High degree of professionalism, initiative, flexibility adaptability, confidentiality and integrity. Effective written and verbal skills. Mac, Google and Workspace proficient. Strong team player, collaborator, and contributor to the success of the school.


SUMMARY OF POSITION:

Supports VP, MAC (Marketing, Admissions and Communication), counselors and parents through the admissions process. Maintains official academic records, requests, and documents for all present, past, and future students.


ESSENTIAL FUNCTIONS:

Essential functions may include, but are not limited to the following:

  • Maintains hard copies of all student academic transcripts and cumulative records.
  • Processes and records students historical grades earned at other schools, independent study, and online classes.
  • Processes transcript requests for students and alumni to be delivered electronically to their institution of choice.
  • Uploads class rosters and updated transcripts to Parchment after grades are posted each semester.
  • Assists parents and school officials in the admissions process for incoming and outgoing students.
  • Sends Cumulative Record Request letters to all new incoming students previous schools.
  • Prepares reports as requested by the Diocese, County Office of Education, State of California, Principal, or Academic Dean.
  • Produces lists, mailing labels and other requested items from PowerSchool for Administration, Counselors and faculty.
  • Other duties as assigned.

PHYSICAL REQUIREMENTS:


Employees in this position must have the ability to:

  • Sit and stand for extended periods of time.
  • Exhibit manual dexterity to dial a telephone, to enter data into a computer, and to perform assigned classroom tasks using both hands.
  • See and read a computer screen and printed matter with or without vision aids.
  • Hear and understand speech at normal classroom levels and outdoors and on the telephone.
  • Speak in audible tones so that others may understand clearly in normal classrooms, outdoors, and on the telephone.
  • Physical agility to lift up to 25 pounds to shoulder height and 50 pounds to waist height; and to bend, to stoop, to sit on the floor, to climb stairs, to walk and to reach overhead.
